Summary of the Position:
The Office Services Administrative Assistant is responsible for the facilities of four offices, including the Tishman Speyer Headquarters, totaling approximately 450 employees. This role ensures the smooth operation of the reception, food service, and mailroom teams and that the space itself is in impeccable condition by working under the direction of the Manager of Office Services. Every day is different, and no job is too small. The Administrative Assistant will organize complex projects with moving parts and competing requests.
The successful candidate will have an ability to work well with a range of personalities; from executives to the others across all departments. This role requires creative problem-solving skills, professionalism at all times, extreme attention to detail, attentive follow up, an eye for design, strong hospitality skills and availability outside regular work hours on occasion.
Key Responsibilities:
Facilities coordination, including but not limited to furniture updates and minor construction projects, temperature control, painting, HVAC, repairs, reception flowers, cleaning, standing desks, carpet, cleaning, and overall maintenance of our offices.
New hire desk setups.
Maintain an understanding of upcoming new hires and plan seating for 600 5th and 1 Rock offices.
Working with the Office Manager to oversee complex office moves or projects, at times office moves can exceed 50+ employees.
Managing emergency messaging system; ensuring employee contact information is current.
Working with the office manager to plan and manage events.
Maintaining office seating charts and employee/department/seating counts.
Ordering flowers, handling staff gifts.
Processing Office Services invoices.
Coordinating IT, Mailroom, Security, Cleaning assistance.
Handling petty cash.
Additional projects and responsibilities as assigned
Fill in for Reception as needed.
Skills & Qualifications:
Bachelor’s degree is required
Strong project management skills
Ability to exercise discretion and maintain confidentiality
An eye for design is a plus
Excellent and clear communication skills
Professionalism, especially in written and oral communication
Exceptional organizational skills
Able to handle cash and checks
An ability to give clear directions to vendors and trades
An ability to problem solve; a solutions based mentality
Positive and flexible attitude
Proactive mindset
Ability to take room dimensions and visualize special arrangements
Agile, able to climb stairs
Can lift up to ~20lbs
This is an onsite position.
The base compensation range for this role is $60,000 to $65,000. This role is also eligible for a discretionary annual bonus, as well as access to our comprehensive medical, dental, and vision insurance, life and disability insurance, 401(k) plan (with matching contributions), wellness benefits and all other benefits afforded to full-time Tishman Speyer employees.
This base range reflects a number of factors including, but not limited to, relevant experience, skill sets, and/or licensure required of an individual in this particular role. The base range is also specific to members of Tishman Speyer’s New York team, as we’ve considered factors specific to this geography.
