Position Summary:

We have an immediate opening for a full-time Administrative Assistant in our Westport, CT Office. This role will act as a shared administrative support resource. The ideal candidate will be experienced in handling a wide range of administrative support functions while maintaining a high level of professionalism and confidentiality.
Responsibilities:
Responsibilities:
Prepare and submit monthly expense reports.
Oversee all aspects of general office coordination and management.
Extensive calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex executive and informational meetings.
Events and planning.
Help to arrange domestic and international travel where needed.
Answer, screen and respond to incoming calls, voicemails, and emails, in a professional and timely manner.
Assist with special external and/or internal projects as assigned
Conduct research as needed.
Content development to support presentations and reporting.
Other administrative duties as assigned
Qualifications:
Required Education and Experience:
High School Diploma or GED required; Bachelor’s Degree preferred
Minimum of 4 years related work experience
At least 2 years of administrative experience supporting multiple high-profile employees and their subordinate Directors and Managers
Personification of responsibility, reliability, and accountability a must
Proficient computing skills, specifically with Microsoft Outlook, Excel, Word, and PowerPoint required with the ability to learn new programs or systems easily.
Experience with calendar management and the coordination of complex travel itineraries
Experience in booking complex travel, expense reporting, and invoicing
Superior organizational skills with the ability to multi-task competing priorities while meeting strict deadlines.
Adaptable to the changing requirements and the influx of various requests from Executive Team members and external organizations
Professionalism and discretion with confidential information
Strong level of intensity and commitment to providing a high level of customer service
Self-sufficiency and ability to work with limited supervision and direction required
Task oriented and drive completion of tasks within narrow time lines
Excellent written and verbal communication skills with the ability to interact effectively at all levels within the organization
Ability to thrive in a fast-paced environment and work well under pressure
Strong decision-making ability
Ability to work overtime as needed.
