Job Summary:

Center for Plastic Surgery’s Front Office Coordinator is a dynamic and customer-focused team member. They play a crucial role in creating a positive and welcoming environment for our guests from the moment they enter our clinic. The Front Office Coordinator is responsible for providing excellent customer service and ensuring the smooth and efficient operation of the front office.

Duties and Responsibilities:

Greet guests warmly and ensure a friendly and professional atmosphere.
Handle guest check-ins, collect necessary information, and verify insurance details.
Direct guests to the appropriate waiting area and provide necessary assistance.
Coordinate and schedule appointments for various aesthetic and plastic surgery services.
Manage appointments in EMR software and ensure optimal scheduling efficiency.
Confirm appointments and provide necessary pre-appointment instructions.
Respond to guest inquiries in person, over the phone, and via text message and email with a professional and compassionate demeanor.
Address guest concerns and escalate issues as needed.
Provide detailed information about services, procedures, and pricing.
Perform general administrative tasks, including filing, data entry, and maintaining guest records.
Collaborate with team members to ensure accurate and up-to-date guest information.
Process financial transactions at guest check out.
Keep the front office area tidy and organized.
Maintain a professional appearance and behavior at all times.
Perform other duties as assigned to support clinic operations and guest experience.

Qualifications:

High school diploma or equivalent; additional education or training in office administration is a plus.
Previous experience in a medical spa, plastic surgery clinic, or similar healthcare setting preferred.
Excellent customer service and interpersonal skills.
Strong organizational and multitasking abilities.
Proficient in using office software and scheduling systems.
Knowledge of industry terminology and procedures is an advantage.

Physical Requirements:

Prolonged periods of sitting at a desk and working on a computer.
Occasional standing and walking, including walking to clinical areas or assisting with patient flow.
Frequent use of hands and fingers for typing, phone use, and handling office equipment.
Visual acuity required for reading electronic medical records, schedules, and other printed or digital materials.
Occasional lifting or carrying of items up to 15 pounds (e.g., office supplies, patient materials).
