ABOUT THIS POSITION

Location: Onsite Monday – Friday, with core hours of 9am – 6pm EST.

The Executive Assistant will provide executive administrative support one of the members of our Executive Leadership team. This role will provide direct administrative support, including complex schedule management, meeting coordination, travel & expense management, and coordination with internal and external contacts, while taking part in the business development and growth of Fluence.

As the Executive Assistant at Fluence, you will:
Actively participate in the organization and preparation of meetings, meeting minutes and attendance.
Lead and execute complex tasks and projects under tight deadlines
Manage multiple complex calendars.
Manage scheduling for staff and record minutes.
Provide essential support by serving as key point of contact, coordinating meeting logistics, communications, and materials.
Project manage the creation of Power Point presentations to support executive and board reporting.
Anticipate needs and be able to handle multiple tasks concurrently.
Coordinate travel and expense management.
Gather and file all relevant paperwork.

Ability to handle administrative details independently, while keeping team members adequately informed.
Strong multi-tasking, analytical thinking, and organizational skills in a fast-paced work environment
Ability to understand assignments and complete them with little to no follow up.
Robust computer skills such as Excel, PowerPoint, Visio, Salesforce, PowerBI, Concur.
Ability to interact in a variety of situations and people, sometimes under high pressure.
Excellent organization, planning, time management and problem-solving.
Ability to deliver results under pressure and take ownership of assigned tasks.
Capability to manage multiple demands and competing priorities.
Excellent written and verbal communication ability with strong relationship building skills.
Demonstrate the ability to handle confidential information with discretion, prioritize work to deliver outcomes, and exercise good judgment.
Associate or bachelor’s degree or equivalent experience
$89,000 – $113,000 a year
