The City of Fort Lauderdale is hiring an Executive Assistant to the City Manager. The individual selected for this role will provide highly responsible administrative support to the City Manager. This is an advanced administrative position and is distinguished from other administrative positions by the higher-level complexity of assignments and broad scope of responsibility working with a high level of sensitive and confidential matters. Assignments require independent judgment and involve high-level interactions with executive management and elected officials. Work is reviewed through conferences, observation, reports submitted, and results obtained.

This is a non-classified position appointed by the City Manager and not subject to Civil Service Rules or any collective bargaining agreement.

This job classification is in Management Category III for benefits purposes, which includes six (6) additional Management Vacation Days and a Vehicle Allowance of $250/month.

ESSENTIAL JOB FUNCTIONS

Essential functions are the basic job duties that an employee must be able to perform, with or without reasonable accommodation. Coordinates and provides administrative support to the City Manager.
Acts as liaison with other departments, and outside organizations, provides information concerning established policies and procedures; receives and responds to correspondence or routes to appropriate respondent; initiates information searches and compiles data on various assigned projects.
Handles a variety of responsible administrative or technical assignments including summarizing reports, conducting research, and preparing reports.
Plans and makes arrangements for meetings and conferences.
Responds to telephone, in-person, and e-mail inquiries; greets the general public, contractors, and city officials; answers various inquiries personally; handles citizen complaints; provides information on departmental services and functions.
Handles department inquiries and complaints from the public and other City departments and outside agencies; alerts appropriate staff for follow-up.
May manage a variety of special projects, including but not limited to conducting research, preparing reports and/or presentations, and organizing community meetings and/or special events.
Performs related work as required.

JOB REQUIREMENTS, PREFERENCES & WORK ENVIRONMENT

MINIMUM JOB REQUIREMENTS:

Graduated from an accredited college or university with a Bachelor’s Degree in Public or Business Administration, Communications, or a related field.

Three (3) or more years of relevant administrative support experience required.

Experience providing direct administrative support to an executive-level leader within an organization preferred.

Full-time work experience within local (municipal or county), state, and/or federal level(s) of government preferred.

Additional qualifying experience or completion of coursework at an accredited college or university in a job-related field, may substitute on a year-for-year basis for the required experience or education.

ADDITIONAL PREFERRED QUALIFICATIONS:

Experience coordinating commission agenda items.
Experience composing, routing, and filing memorandums and letters through a municipal government workflow.

As public servants, employees may be required to work immediately before, during, and/or after an emergency. All employees must be available and able to work assigned shifts as determined by their Department Heads.

PHYSICAL STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

The position is generally sedentary. Employees sit most of the time but may walk or stand for brief periods of time. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
