Working Hours: 9:00 AM – 6:00 PM (1-hour lunch break)
Salary: $19 – $22 hourly
Job Overview:
We are seeking a sharp, detail-oriented Office & Operations Assistant to provide leadership support and help ensure our office and operations run smoothly and efficiently. This multifaceted role involves handling administrative tasks, supporting customer service, managing inventory and order processing, and assisting with back-office operations. The ideal candidate is proactive, adaptable, and possesses strong organizational and communication skills.
Key Responsibilities:
Administrative & Office Support:
Provide administrative support to company leadership, the sales team, and various departments.
Greet and direct office visitors and handle incoming calls, emails, and mail.
Coordinate schedules and manage calendars to ensure meetings and appointments are arranged without conflicts.
Make travel arrangements and prepare documents, presentation materials, and meeting facilities.
Assist in organizing trade shows, exhibitions, and conferences.
Maintain and update company, employee, and client records.
Order, store, and distribute office supplies, and ensure office equipment is maintained or replaced as needed.
Provide basic bookkeeping services, including client invoice issuance and financial record-keeping.
Operations & Inventory Management:
Process import orders placed with our HQ factory in Spain using our ERP system (SAGE), including receiving and counting products for inventory.
Manage client orders in the ERP system: handle order picking, coordinate shipping through courier companies (UPS/Fed Ex), and send invoices to clients.
Monitor order deliveries by verifying that clients have received their invoices and following up on any outstanding payments.
Generate sales and statistical reports from the ERP system.
Customer & Back Office Support:
Act as a point of contact for client inquiries and support the sales team as needed.
Ensure efficient communication and collaboration across departments to maximize productivity and accuracy.
Qualifications & Skills:
2–3 years of experience in administrative support, office management, or a related field.
High school diploma or equivalent; a degree in Business Administration or a related field is preferred.
Proficient in Microsoft Word, Excel, Outlook, PowerPoint, and Adobe Acrobat.
Experience with ERP systems such as Sage, Quick Books, or Zoho is a plus.
Demonstrated experience in client order processing, inventory management, and basic bookkeeping.
Familiarity with common office technology and equipment (computers, fax machines, scanners, printers, phone systems, etc.).
Exceptional verbal and written communication skills.
Proactive, organized, and able to multitask effectively.
Strong interpersonal skills with a professional appearance and courteous manner.
Ability to work well both independently and as part of a team.
Fluent in English (fluency in Spanish is an added value).
A valid driver’s license is required.
