TITLE: Administrative Coordinator, Sr.

JOB OVERVIEW: This position is responsible for a wide range of administrative duties that support the Information Technology department.

AREA OF ASSIGNMENT: Information Technology

HOURS OF WORK: Typically, Monday – Friday 8am – 4:30pm. Hours may vary occasionally.

RESPONSIBLE TO: IT Director

PREREQUISITES:

Associates degree or equivalent experience.

Minimum five years administrative experience required.

Two years healthcare experience preferred.

Intermediate to advanced experience with Microsoft Office Suite.

Knowledge of office procedures, methods and equipment.

QUALIFICATIONS:

Proficient and accurate typing skills.

Demonstrated organizational skills for managing vendor contracts.

Accurate data entry skills for capital purchase requisition systems, Project Management systems and invoice payment processing.

Ability to create accurate meeting minutes.

Demonstrates composition and proofreading skills.

Work record indicating dependability and professionalism.

Demonstrated flexibility and manageability of multiple demands within tight time constraints.

Ability to manage time and attendance for multiple staff.

Capable of comprehending, executing, acting, and directing independently.

Able to communicate effectively in verbal and written forms in the English language.

Knowledge of health care terminology.

Able to discern priorities and manage timelines, while meeting deadlines and managing priorities.

Demonstrates effective interpersonal relationships and competent in customer service skills and abilities.

Ability to provide administrative support to the organization at the executive/administrative level.

Ability to maintain confidential information.

UNIQUE PHYSICAL/MENTAL DEMANDS, ENVIRONMENT AND WORKING CONDITIONS:

Ability to work under time pressure to meet deadlines. Ability to multi-task, subject to interruptions and multiple priorities. Sitting for extended periods of time, keyboarding at a computer terminal (70%). Speaking, close vision, hearing, standing, walking, reaching, lifting up to 10 pounds. PERFORMANCE RESPONSIBILITIES:

B. Essential Responsibilities and Competencies

Provide administrative support to IT leadership.

Support the IT Leadership team in scheduling meetings (including team/committee, one-on-one meetings, and community outreach meetings), making travel arrangements, and compiling/distributing network-wide communications.

Assist in special event planning, support for events and follow up.

Provide support for key meetings, including agenda preparation, material copying, slide show presentations, Skype options, taking minutes, etc.

Advise management of trends, concerns and suggest measures to maintain standards and continuous improvement.

Promotes a positive image of VMC and IT within both the hospital and the community at large.

Assists in the coordination and scheduling of new hires with Human Resources, IT Leadership, and Valley Medical Center.

Maintain space planning documents and maps. Ensure new staff have appropriate space and equipment.

Generates supply and equipment requisitioning, processing invoices/travel and continuing education reimbursement.

Perform all office duties including, but not limited to, ordering office supplies, keeping updated lists of IT staff contact information, updated SharePoint pages, email distribution lists, proper formatting and uploading of current policies and procedures, etc.

Responsible for all time and attendance functions in the HR/Payroll system for IT

Create documents, including organization charts, surveys, and timelines.

Maintains an up-to-date system for vendor contracts.

Drop-off, pick-up, sort and deliver mail daily

Facilitates collaborative relationships with IT staff.

Practices effective communication and problem identification and resolution skills.

Demonstrates self-responsibility and professional development.

Demonstrates cultural sensitivity.

Uses enterprise systems (network, financial, purchasing, time keeping) effectively as needed to perform job.
