POSITION SUMMARY

This person will assist in providing exceptional administrative support to an incredibly busy CEO of seven companies and 30 legal entities with huge goals of growth and expansion. Your role is to keep the CEO productive, on-task, and organized.

The ideal candidate is a seasoned professional with a proven work ethic who has a “can do” attitude. You will be expected to multi-task and handle all projects with tact and precision. This job will be demanding, dynamic, and rewarding.

You will work together with, and as an extension of, the CEO. You will work as a true business partner, helping to define and encourage top-priority personal and professional projects. You must have the business acumen and empathetic insight to know what needs to come off his plate to ensure that he, and his team, are at their highest productivity.

You will need to constantly look ahead and take care of the CEO’s needs, often before he is aware of them. Your role is about giving back time to him so he can operate in his “zone of genius” and concentrate on the strategic side of the business.

You will be encouraged to take on bigger and better responsibilities once a baseline of responsibility, accomplishment, and trust has been established.

REQUIREMENTS

Minimum 10 years total professional administrative experience + minimum 4 years as a high-level Executive Assistant to the C-Suite, CEO, or Managing Director. NO EXCEPTIONS.
Well-versed in the Microsoft Office Suite and PC computers. Computer literate with the ability to learn new software applications.
Must have your own car and mobile phone (stipends will be given).

Status & Location

40 hours/week in-office in Missouri City, TX (77489). 8:00 am – 5:00 pm. This is not a remote position; you will be working in-office every day, even when the CEO is not there.

Salary & Benefits

$90,000 – $95,000 annual salary range.
Health, dental, and vision benefits effective on the 1st of the month following 60 days of full-time employment at 80% employer/ 20% employee coverage.
401k effective the first of the month following nine (9) months with 100% match on the first 3% contributed.
Basic life insurance + accidental death & dismemberment insurance.
Vacation time has a six-month waiting period. You then accrue a pro-rated portion of 96 hours for the remainder of the year.
Eight (8) paid holidays.

KEY AREAS OF RESPONSIBILITY

Essential Administrative Duties

Remove day-to-day logistical obstacles to allow the CEO to stay focused on strategy, leadership, and the direction of the company.
Dominate a vigorous and constantly changing calendar with ease, determination, and adaptability. Keeps the CEO well informed of upcoming commitments and responsibilities, following up appropriately.
Heavy travel planning including for the CEO and the CEO’s family.
Initiate and participate in daily meetings with the CEO to go over scheduling and priorities for the day.
Acknowledge, handle, and respond to a large quantity of emails. Prepare executive responses to routine letters, and correspondence. Sort through the CEO’s inbox clutter.
Manage key relationships both personally and professionally. Implement a follow-up process when the CEO makes a new professional relationship.
Answering calls, directing calls, and taking messages.
Can read and understand a variety of financial reports.
Prioritizes conflicting needs; handles matters expeditiously, and proactively, and follows through on projects to successful completion, often with deadline pressures.
Interacting with the leadership team daily.
The organization admittedly has a non-existent onboarding program. Must be willing to dive in on Day One without a formal setup.
Must be willing to take on a variety of assignments as necessary. No job too small.

CEO & Business Management

Aiding the CEO in moving tasks forward in any project, whether personally or professionally, that arises in his busy schedule.
Creates simple and tailored processes for the CEO to keep him on task. His “to-do” list is overwhelming so you must find a process that works for him and remove items he does not need to be doing.
Determines the appropriate allocation of time for meetings, prepares him ahead of time, and does what is possible to ensure they are concise and to the point.
Exhibits high empathy and understanding of the CEO and his behaviors.
Personal tasks as needed including errands, scheduling, travel planning, and special projects.
Utilizes analytical skills and a broad understanding of the business to effectively interpret and anticipate needs.
Keep the CEO advised of any potential problems. Be the eyes and ears for him when he cannot.
