Position Overview:We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will play a crucial role in supporting various aspects of our operations, including procurement, dispatching, bookkeeping, and administrative tasks. The Administrative Assistant will work closely with different departments to ensure the smooth flow of daily activities.

Key Responsibilities:

Operations Support:

Assist in dispatching technicians for service calls and projects.

Coordinate with field personnel to ensure timely project completion.

Maintain organized schedules and communicate effectively with the operations team.

Purchasing and Procurement:

Source and procure materials needed for projects and daily operations.

Negotiate with vendors to obtain favorable terms and pricing.

Maintain accurate records of purchases and track inventory levels.

Permitting and Regulatory Compliance:

Interface with city authorities to obtain necessary permits for projects.

Stay updated on local regulations and ensure compliance with building codes.

Support the documentation and filing of regulatory paperwork.

Bookkeeping and Financial Tasks:

Manage and update receipts feed with accurate categorization.

Maintain organized financial records and assist with bookkeeping tasks.

Process invoices for executed work and track accounts payable.

Vendor Relations:

Update vendor profiles to reflect accurate transaction details.

Respond to billing inquiries from vendors and customers promptly.

Ensure positive and professional relationships with suppliers.

Technology Utilization:

Utilize service software to streamline processes and enhance efficiency.

Assist in the development and improvement of operational workflows.

Qualifications:

Proven experience as an Administrative Assistant or in a similar role.

Strong organizational and multitasking abilities.

Excellent communication and interpersonal skills.

Proficient in using office software and familiarity with service management tools.

Attention to detail and accuracy in record-keeping.

Ability to adapt to a fast-paced work environment.

Education and Experience:

Bachelor’s or equivalent; additional relevant education is a plus.

Previous experience in a similar administrative or support role is preferred.

Pay: $55,000.00 – $65,000.00 per year
