POSITION OVERVIEW & PURPOSE
The Administrative Assistant 1 is responsible for the day-to-day operation, organization, and administration of the Company corporate office. This position will primarily support the CFO as well as the CEO (on an as needed basis), Finance and Accounting, Asset Management, Acquisitions, and Development teams as needed.
ESSENTIAL DUTIES & RESPONSIBILITIES
Manages reception area to ensure effective telephone and mail communications both internally and externally
Provides continuous coverage of front desk area during normal business hours.
Manages calendars for executives, provides reminders of upcoming meetings and events and ensures that calendars are not doubled-booked.
Manages shipment of packages.
Maintains office efficiency by planning and implementing office systems, including filing, off-site storage, etc., as well as office layout and equipment procurement.
Ensures office is neat, organized, and maintains a professional appearance at all times
Coordinates and reserves any team member travel plans.
Plans and coordinates on and off-site meetings and team building events, including procuring meals and restaurant reservations
Manages Information Technology (IT) tickets with 3rd party IT vendor and offers support for basic IT requests
Administers new-hire onboarding process
Prepares expense reports for team members via Concur expense management system and serves as Concur admin to support all team members using the system.
Maintains all permanent legal files in hard and electronic copies for all acquisitions, dispositions, and financing transactions.
Manages break room supplies and organization as well as maintains office supply inventory
Ensures community areas, i.e. conference rooms, are organized, functional, and well stocked with required supplies on a daily basis
Schedules conference room use for in-house meetings.
Assists Real Estate teams to obtain required complete documentation, including obtaining Officer signatures and approvals on contracts.
Colorado Notary required
Ensures documentation flows through office communication channels in a timely manner.
Input and code accounts payable invoices as needed
May be assigned other duties as needed to ensure operational success and best practices implementation.

QUALIFICATIONS & COMPETENCIES
BASIC
High School diploma or equivalent
Basic Information Technology (IT) knowledge (light desktop and application support)
Moderate to advanced knowledge of Microsoft Office365 Suite
Proficiency with photocopiers, audio-visual equipment, computers, etc.
Must be able to provide proof of eligibility to work in the U.S.
Physical Requirements: % of Work Time
Must have the ability to remain in a seated position. 80%
Must have the ability to speak and hear clearly. 100%
Must have the ability to lift office products and supplies, up to 20 lbs. 20%
Must have the ability to stoop, kneel, bend and reach. 10%

PREFERRED
Experience with Concur expense management system
Basic Visio, PowerPoint and Microsoft Office skills
Experience supporting a number of executives with varying business demands and priorities.
SCHEDULE
This position is temporary. This position is expected to be in office Monday-Friday. Working hours are during regular business hours.
TRAVEL
Travel as needed to meet job requirements.
WORKING CONDITIONS & PHYSICAL REQUIREMENTS
Duties are conducted indoors in environmentally controlled conditions.
Due to current and potential future local, state, and federal government orders concerning the COVID-19 health crisis, working conditions may be adjusted as necessary to provide employee safety and comply with applicable ordinances. The company is considered an “essential service,” and in person work may be required. The company will take all possible measures to increase employees’ safety.
COMPENSATION
WAGES
Estimated starting hourly wage: $21.63
The exact hourly rate is determined within the stated range by merit; seniority; production rate and/or quality; geographic location; education, training, and/or experience related to job duties and responsibilities; or travel required by the position.
