Job Summary

Under supervision of the Office Manager, this position provides clerical support for senior administrative staff in the Office of Student Affairs and provides administrative support to student affairs programs.

Duties & Responsibilities

Administrative:

Provide direct support for the Associate and Assistant Deans of Student Affairs:

Including coordinate meetings/schedules, assist with the preparation of confidential briefing materials for meetings, record attendance

Assist with making the necessary arrangements for meetings, conferences, and events for the Associate Dean, Assistant Dean, and other administrative staff which includes: working directly with venues and caterers, compiling the necessary materials.

Provide administrative support to the college-level Student Promotions and Progress Committee, Career Advising Program, Academic Support program, and Scholarship Committee.

Assist in the preparation and distribution of correspondence and other materials from the Student Affairs office ensuring standardization, accuracy, efficiency, and confidentiality as appropriate.

Maintain and prioritize the scheduling of student affairs resources including the conference rooms, equipment, and parking spaces.

Assist with onboarding of new employees.

Clerical:

Monitor, distribute, and respond to the student affair’s email account and maintain multiple college email group listservs.

Serve as coordinator for the Student Affairs newsletter.

Serve as back-up in the absence of the office manager.

Maintain keys for the Office of Student Affairs.

Fiscal:

Provide assistance with making purchases on Tcard, reconciling e travel charges in Chrome River for staff and student organizations; processing reimbursements in Chrome River; maintaining knowledge on current policies surrounding travel reimbursement policies.

Utilize iBuy and Pcard for orders specific to the Office of Student Affairs.

Other:

Perform other duties as assigned.

Minimum Qualifications

1) High school diploma or equivalent.
2) Any one or combination totaling two (2) years (24 months) from the categories below:
A) College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate’s Degree (60 semester hours) equals eighteen months (18 months)
90 semester hours equals two (2) years (24 months)
Bachelor’s Degree (120 semester hours) equals three (3) years (36 months)
B) Work experience performing office/clerical activities, including the use of computer systems.
3) One (1) year (12 months) of work experience comparable to the second level of this series.
