SUMMARY
Maintain program data base, create brochures and other marketing materials, and perform other administrative support functions by performing the following duties:
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Perform data entry into program data base as well as monthly and/or periodic data submissions to funding source(s) data systems.
Assist with construction and distribution of forms for data collection and may complete forms, as appropriate.
Assist staff with construction of various documents including brochures, program flyers and other marketing materials, resumes for individuals receiving services, meeting and event invitations, calendars, etc. Complete mailings, as required.
Assist staff with construction, maintenance and organization of various manuals and resource materials.
Assist with meeting preparation including maintenance of monthly calendars and Board committee binders, distribution of letters of invitation, room reservation and preparation.
Type correspondence, meeting minutes and routine reports from written notes or transcribe from voice recordings.
Compile and distribute statistical reports.
Make copies of correspondence, reports, incident reports and other printed matter and distribute, as appropriate. Incident reports may also require entry into program data base.
Perform full-time (or relief) front desk reception responsibilities including answering telephones, granting entry to and greeting visitors and providing information to visitors (Extent of responsibility is dependent on location).
Assist with construction and ongoing maintenance of active and post-discharge Master Files of individuals receiving services. Assist with quality review of Master Files, as necessary. Ensure maintenance and security of Master File room and storage.
Monitor and maintain levels of supplies and working condition of office equipment. Place service calls to service representatives for office equipment, as necessary.
Order office and staff lounge supplies, as necessary.
Distribute departmental mail daily.
Prepare outgoing mail.
Perform other related essential duties as required or directed.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED); one to three years related experience and/or training; or equivalent combination of education and experience.
LANGUAGE SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to communicate effectively with employees, individuals receiving services, visitors and other stakeholders of the organization.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
OTHER SKILLS AND ABILITIES
Must have or be able to gain proficiency to operate computer programs such as Microsoft Office (e.g. Word, Excel, Outlook, Publisher), Google Workspace tools (e.g. Docs, Sheets, Slides, Drive, Gmail) and database with speed and accuracy.
