Duties and Responsibilities:
Communications Support
Monitor and respond to general inquiry emails & forward or escalate messages as appropriate.
Respond to and draft emails on behalf of the leadership team when applicable, ensuring timely, professional communication.
Compose and edit internal and external correspondence, including professional letters, announcements, and responses to partners, vendors, and team members.
Serve as the first point of contact for incoming phone calls and route inquiries appropriately.
Administrative Duties
Manage leadership team calendars, including scheduling meetings, coordinating availability, and sending reminders and confirmations.
Assist in organizing and preparing materials for meetings, conference calls, and special events.
Coordinate travel arrangements and prepare detailed itineraries for the leadership team.
Sort and distribute incoming mail; prepare outgoing correspondence and packages.
Process administrative tasks including expense reports, pay applications (pay apps), and internal documentation.
Other duties as need to support team initiatives
Education and Experience
Bachelor’s degree in business administration, or related field preferred, or equivalent combination of education and experience.
2+ years of experience in an administrative/executive assistant, communications associate, or customer service role.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to manage multiple tasks and priorities.
Experience with Outlook, Microsoft Office Suite, and calendar management tools.
Ability to maintain confidentiality and professionalism in all interactions.
Comfortable working in a fast-paced environment with shifting priorities.
Preferred Skills:
Experience managing shared inboxes or general company communication lines.
Familiarity with CRM, project management tools, or basic bookkeeping (e.g., for processing pay apps).
Strong organizational and time management skills, with the ability to handle multiple priorities.
Proficient in Microsoft Office (Word, Excel, Outlook); experience with HRIS (Wurk preferred)
Ability to handle sensitive and highly personal information daily and maintain confidentiality in a mature and insightful manner.
