About the Role:

We are looking for a proactive and enthusiastic Receptionist/Office Coordinator to join our team in our new office in Flatiron. This role is perfect for someone who enjoys creating a welcoming environment, keeping things organized, and ensuring the smooth day-to-day running of the office. As the first point of contact for visitors and a go-to person for staff support, you’ll play a key role in maintaining a positive and productive workplace.

Responsibilities:

Greet visitors warmly and ensure they are looked after during their visit

Manage incoming calls and emails to the main office line

Receive, sort, and distribute post and deliveries

Maintain a tidy and professional reception area

Monitor and maintain office supplies and stationery

Keep shared areas (meeting rooms, kitchen, etc.) clean, stocked, and organized

Support the team with ad hoc administrative tasks as needed

Coordinate with building management and external vendors (e.g. cleaners, maintenance)

Ensure the kitchen and fridge are fully stocked with snacks, drinks, and essentials

Place weekly orders for food and office supplies based on team preferences and needs

Maintain an inventory list and track consumption trends

Support internal events or meetings (e.g. setup, refreshments)

Take initiative on improving office processes and atmosphere

Who you are:

A minimum of 1 years experience in a similar role

Excellent communication and interpersonal skills

Highly organized with strong attention to detail

Comfortable using basic office tools (e.g. Google Workspace,)

Friendly, approachable, and a team player

Compensation Range: $45K – $50K
