Position Summary

The Executive Assistant’s primary role is to perform in a wide variety of administrative tasks in support of a top executive.

Essential Job Functions

Maintains the executive’s calendar: schedules and confirms appointments, arranges for meeting rooms or facilities, makes and confirms travel plans.
Prepares agendas, reports or presentations, attends meetings with the executive, and takes, transcribes, and distributes notes or minutes.
Prepares and submits expense reports on behalf of the executive.
Screens visitors, phone calls, emails, or physical mail.
Maintains confidentiality of sensitive information.
Provides back up support of other executive team administrative support as needed.
Collaborate with relevant team members to prepare nurse and employee gifts, company-wide awards, recognition documents, and other recognition items.
Generally, manage day-to-day tactical and administrative tasks in a challenging environment.

Work Environment

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Remote Employee must have:

Stable, nonpublic internet connection with sufficient bandwidth to participate in video meetings and other regular activities, with an alternative location considered as a backup.
Working environment conducive to conducting business without distraction or interference
Noise level in the work environment that is quiet to moderate
A designated workspace which allows the Team Member to focus, preferably with a desk or worktable, comfortable chair, and good lighting.
Corporate Events

TRS Healthcare hosts a minimum of two corporate meetings each year and Team Member’s participation is required for these meetings. Travel will be booked and arranged through TRS’ authorized travel platform & events coordinators. Team Members who resign or cancel their booked trip are subject to the TRS Travel Policy and may be subject to reimbursing TRS Healthcare for the cost of travel and other related expenses.
