Job Title: Administrative / Executive Assistant

Location: Onsite, Hampstead, MD

Reports to: HR Manager

Job Type: Full-Time, Hourly

Comp: $45K – 55k/year + benefits. Compensation includes bonus based on company performance

About the Role:

We are looking for a professional, organized, and proactive Administrative/Executive Assistant to join our team. This dual-role position is ideal for someone who enjoys being a welcoming, often first impression of the company while also supporting executive leadership with administrative tasks. You’ll be a key player in ensuring smooth daily operations and enhancing productivity.

Key Responsibilities:

Reception Duties:

– Greet and welcome visitors in a friendly and professional manner.

– Answer, screen, and direct incoming phone calls.

– Manage front desk operations including incoming mail, deliveries, and general inquiries.

– Maintain a tidy and welcoming reception and conference room area.

Office Coordination:

– Order office supplies and manage inventory.

– Coordinate with vendors and service providers.

– Assist with event planning, company communications, and special projects.

Executive Support:

– Provide high-level administrative and special project support to President/Executive Team.

– Manage calendars, schedule meetings, and coordinate travel arrangements.

– Prepare reports, presentations, and meeting materials.

– Take meeting minutes and follow up on action items as needed.

– Handle confidential information with discretion.

Requirements:

– Exudes positivity and service.

– Proven experience as a receptionist, executive assistant, or similar administrative role.

– Excellent communication and interpersonal skills.

– Strong organizational skills with attention to detail.

– Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and/or Google Workspace.

– Ability to handle multiple tasks and work independently.

– Discretion and confidentiality are a must.

Preferred Qualifications:

– Experience in home improvement or construction.

– Familiarity with scheduling software or CRM tools (e.g Sales Force)

– Associate’s or Bachelor’s degree in Business Administration or related field (preferred but not required).
