Position:  OPERATIONS ADMINISTRATOR

The Operations Administrator performs multiple tasks, supporting all locations with general Rigging & Crating business and administrative operations to help ensure that all areas are working efficiently. Primary responsibility is to support and manage the efficient operation of Rigging & Crating administrative function and collectively participate as a strategic member of the Rigging & Crating management team.

Responsibilities

Complete and submit first reports of injury and any required follow up with KPD or WC Carrier.

Manage and monitor light duty assignments, lost time reporting and return to work.

Serve as primary contact for managers and insurance for incident reports and claims.

Assist Safety Management with all safety data tracking, reporting, and documentation.

Work closely with in-site safety consultant to maintain OSHA reporting files for quarterly reporting to safety management companies and required annual reporting .

Monitor location “Consecutive Days”, coordinate safetyrecognitionawards and milestone functions.

Assist and support MRC Best Known Methods Project administratively with facilitating BKM rollout and training by location.

Coordinate with site safety professional to organize and manage safety certification training & compliance.

Sales Support

Primary contact for sales to obtain Certificates of Insurance when needed (PM/Sales Admin.)

Provide first level of review on commission reports with authority to provide approval overrides for commission exceptions.

Act as first point of contact for salespersons disputing or appealing commission calculations.

Review and coordinate lien waivers with corporate AR.

Resource for sales to review quotes and provide suggestions regarding specific wording outlining MEI responsibilities vs customer. responsibilities to minimize MEI liability. (PM/Sales Admin./Legal).

Complete enrollment documents, payroll reporting for new & existing employees and manage any ROCIP, CCIP, OCIP project (Accounting Admin.)

Assist Sales in working with customers to resolve any disputed charges, change order issues or damages to customer equipment. (Sales Admin.)

Complete paperwork required to obtain any site-specific training or badge requirements for projects.

DOT Administration

Administrative coordination of all DOT paperwork to ensure full and proper completion.

Oversee and ensure proper completion of DOT required documentation and submission to Fleet Manager; insure reporting of any changes or revisions to the documents (TDL renewal and photocopy, health cert renewal).

Ensure compliance with DOT regulations as it relates to required permits and permit renewals.

Complete annual Heavy Use tax reporting and payment could easily continue preparation of this return.

Manage and administer local IFTA accounts & compliance.

Coordinate and manage Annual Fleet & Equipment inspections and registrations.

Oversee and ensure proper completion of DVIR.

Oversee, coordinate, and manage fleet/equipment maintenanceprograms and repairs.

General Operations Support

Ownership of all facilities related contracts, including building, janitorial, phones, internet, utilities, uniforms, etc.

Review customer contracts to verify special requirements such as billing, badge, or insurance obligations – request additional executive, corporate AP, payroll, or insurance review as necessary.
