The Office Assistant 2 (OA2) – Spanish assists clients seeking either Sexually Transmitted Infections (STI) or Communicable Disease services and Multnomah County employees in scheduling their health screening appointments with Occupational Infectious Diseases (OID) in scheduling appointments via in person or over the phone. Along with assisting clients this position is tasked with clerical tasks to maintain clinic flow.
The OA2- Spanish is part of a dynamic administrative team consisting of three Office Assistants, this one included, and has an Office Assistant Senior as their Front Desk Lead. This position needs the ability to work with communities affected by sexually transmitted infections in a professional and non-judgmental manner including working with men that have sex with men, injection drug users, youth and Black, Indigenous and People of Color (BIPOC) communities. This position is on-site and in-person.
Knowledge, Skills and Abilities (KSA): Position requires bilingual Spanish/English skills. Language testing will be required.
As the Office Assistant 2, your duties will include:
Program Support
Provide administrative support to the team and program as requested.
Assist clients who are seeking STI or communicable disease services with scheduling appointments.
Assist employees who are seeking Occupational Infectious Diseases (OID) health screenings with scheduling appointments.
Provide services through various methods including phone, email, Electronic Medical Record (EMR), messaging systems, in-person or paper charts.
Collect cash or credit card payments and report end-of-day monies report.
Explain the types of services provided by the clinic and redirect clients to appropriate resources.
Work with Protected Health Information (PHI) and maintain HIPAA compliance.
Work cooperatively and use positive and effective communication with co-workers and supervisors.
Work with the diverse populations of the program, including Black, Indigenous and People of Color (BIPOC), LGBTQ+, men who have sex with men (MSM) and homeless clients.
Clerical Support
Order medical and office supplies.
Process Release of Information documents for STI clients.
Answer calls for multiple programs, manage sending and receiving faxes, and troubleshoot/problem solve any office technology malfunctions.
Work collaboratively with other Office Assistants/administrative staff, program staff, clinicians and clinic support staff to maintain the clinic operating efficiently.
Manage the Work queue in the EPIC medical record.
Maintain and manage the sick line and email for the clinic staff.
Maintain proficiency in office technology to support operations (including computer, EPIC medical records system, and Google systems such as email and chat).
Receive technical supervision and direction from Office Assistant Senior team lead.

Minimum Qualifications (REQUIRED):
Education: Equivalent to the completion of the twelfth grade; AND
Experience: Two (2) years of general office support or customer service experience dealing directly with the public.
Knowledge, Skills and Abilities (KSA): Position requires bilingual Spanish/English skills. Language testing will be required.
Preferred Qualifications/Transferable Skills*: You do not need to have the following preferred qualifications/ transferable skills to qualify. However, keep in mind we may consider some or all of the following when identifying the most qualified candidates.
Obtain BLS CPR Certification within 60 days of hire
Experience providing professional customer service to diverse communities.
Work experience in a clinic or health setting
Training or experience working with data entry, databases or Electronic Health Records Systems such as EPIC.
Previous experience working in an environment focused on STI, communicable disease, or tuberculosis (TB) prevention and control.
Respect and appreciation for ethnic and cultural diversity.
Ability to collaborate and build relationships to achieve positive work outcomes.

Pay Equity: Please be advised that the pay range listed for this position is intended to provide general guidance on the earning potential for the role. However, actual compensation will be determined in accordance with the Oregon Equal Pay Law and will take into account factors such as the candidate’s relevant experience and education. Candidates should expect that initial offers will be made within the listed pay range and may not be at or near the top of the range.
