JOB PURPOSE/SUMMARY:
The Administrative Intake Support Assistant is pivotal in ensuring the seamless and efficient operation of the Gold Country Wildlife Rescue (GCWR) Wildlife Intake Center. This position entails constant interaction with the public and close collaboration with the administrative and animal care teams and volunteers. Additionally, the role is responsible for the accurate and seamless processing of intake data and materials, helping to ensure that all information and resources are managed effectively to support timely and appropriate animal care, as well as organizational sustainability.
PRIMARY DUTIES AND RESPONSIBILITIES (other duties may be assigned):
Intake:
Serve as a primary point of contact for the public, addressing inquiries and requests (via email, phone, and in person) with positivity, warmth, and professionalism.
In collaboration with the Animal Care team, manage the initial intake process for wildlife patients, ensuring their timely safe transport to triage.
Create accurate patient documentation and enter data into WRMD (Wildlife Rehabilitation Medical Database).
Manage, process, and accurately record the intake of donations at the front door.
Administrative:
Coordinate the receiving of packages and supply order deliveries.
Conduct light cleaning duties in administrative, volunteer, and staff areas.
Assist with essential administrative duties (inventory, facilities & maintenance support, etc.).
Generate reports and compile data across multiple platforms.
Pick up and process the mail.
Process and accurately record the donations received via mail.
QUALIFICATIONS:
Minimum 2 years of administrative or office management experience
Non-profit experience preferred
Current and unrestricted California Driver’s License and reliable transportation
Strong written and verbal communication skills and superb interpersonal skills
Proven strength in project management and prioritization
Experienced in Microsoft Office, Google Apps, Asana, Slack, and have a solid ability to learn new software and applications quickly.

PHYSICAL DEMANDS & WORK ENVIRONMENT:
Ability to stand, walk, and sit for the duration of the shift
Frequent bending and physical movement may be required

Availability to work some evenings, weekends, and holidays as scheduled
This role requires regular interaction with various wildlife and includes the risk of exposure to zoonotic diseases, which animals can transmit to humans.
This position is on-site, reporting to our Wildlife Intake Center in Auburn.

Pay: $18.00 – $21.00 per hour
