Job Description

We are seeking an Operations Administrator to join our dynamic team. In this role, you will play a key part in supporting day-to-day business operations by coordinating administrative activities, managing operational processes, and ensuring efficient communication across departments.You will collaborate with internal teams, leadership, and external partners to improve operational efficiency, maintain accurate documentation, and provide administrative support that enables the organization to achieve its business objectives.Key Responsibilities

  • Coordinate and support daily operational and administrative activities across the organization.
  • Prepare reports, presentations, and operational documentation for leadership and business stakeholders.
  • Organize, maintain, and manage electronic and physical files, records, and business documentation.
  • Complete and process business forms, operational documents, and other administrative materials accurately and efficiently.
  • Manage internal and external correspondence, including email communications and document distribution.
  • Coordinate team meetings, prepare agendas, record meeting notes, and track follow-up action items.
  • Assist with scheduling, calendar management, and coordination of operational activities.
  • Monitor workflows and identify opportunities to improve operational efficiency and administrative processes.
  • Support cross-functional teams by coordinating information, resolving administrative issues, and ensuring timely completion of assigned tasks.
  • Maintain confidentiality of sensitive business information while ensuring accuracy and attention to detail in all administrative activities.

Required Qualifications

  • Associate's or Bachelor's degree in Business Administration, Operations Management, or a related field; equivalent professional experience will be considered.
  • Experience in an administrative, operations, office management, or business support role.
  • Proficiency in:
    • Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
    • Document management systems
    • Calendar and meeting coordination
  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Demonstrated problem-solving and critical thinking abilities.
  • Ability to work independently while collaborating effectively within a team environment.
  • Strong customer service and interpersonal skills.

Preferred Qualifications

  • Experience supporting business operations, project coordination, or office administration.
  • Familiarity with business process improvement and operational best practices.
  • Experience preparing executive reports, presentations, and meeting documentation.
  • Knowledge of enterprise business systems, document management platforms, or workflow management tools.
  • Experience working in a fast-paced corporate or professional services environment.
  • Ability to coordinate multiple stakeholders while maintaining confidentiality and professionalism.
