Operations Administrator

The Operations Administrator will play a crucial role in supporting the efficient functioning of the Duluth Community School Collaborative by managing accounts payables and receivables, overseeing HR onboarding processes, handling communications, tracking timesheets, and undertaking various other administrative duties as assigned. This position requires a detail-oriented individual with excellent organizational and communication skills, as well as the ability to multitask and adapt to the dynamic needs of a small nonprofit.

Position Title:Operations Administrator

Immediate Supervisor:Executive Director

Compensation:$21/hour, nonexempt position

Generous Benefits:

Position Details:

● Full-Time (35-40 hours per week), year-round position

● This position includes occasional evening and weekend hours

Required Qualifications

· Commitment to the mission, goals, and values of the Duluth Community School Collaborative.

· 2-years Office Management experience or equivalent experience(s).

· Proficient in Microsoft Office Suite, Google Suite, and social media.

· Ability to work well with staff, volunteers, and community partners.

· Excellent organizational and communication skills—verbally and in writing.

· Excellent critical thinking and problem-solving skills.

· Ability to work both independently and collaboratively.

Preferred Qualifications:

· Proficient in website maintenance (Wix).

· Proficient in Canva or other graphic design.

· Experience managing accounts payable/receivable.

Duties:

Office Management

· Support meeting and event coordination, including Board of Directors meeting support.

· Develop and maintain administrative files and records in both electronic and physical formats.

· Assist in maintaining employee records and ensuring compliance with HR policies.

· Facilitate the onboarding process for new hires, ensuring a smooth and welcoming experience.

· Collect bi-weekly timesheets and support payroll processing.

· Process and record invoices, ensuring accurate and timely payments.

· Track accounts receivable, including recording incoming payments.

· Support Executive Director and bookkeeper with monthly account reconciliations, including matching receipts with expenses.

· Coordinate with funders, donors, and partners to address any financial inquiries.

· Support technology and equipment needs for DCSC team.

Communications

· Collaborate with team members to develop content for various communications channels (social media, newsletter, website).

· Ensure a consistent and positive organizational image in all communications.

· Write and/or proofread outgoing marketing materials.

· Update DCSC website and social media sites to maintain updated information.

Other Duties

· Undertake miscellaneous administrative tasks as assigned by the Executive Director.

· Provide support for special projects, events, and initiatives as needed.
