What You’ll Do:
Manage the CEO’s calendar and assist with meeting scheduling for three division chiefs, including coordinating internal leadership meetings.
Prepare and submit expense reports on behalf of the CEO.
Provide administrative support to the CEO and division chiefs as required.
Monitor and respond to inquiries from the association’s general email box and phone line, ensuring prompt and professional member support. Redirect inquiries to appropriate team members as needed.
Maintain and update the shared organizational calendar.
Process payments, refunds, requests for receipts and invoices, and cancellations for conference/course registrations.
Follow up on outstanding conference registrations, exhibit fees, and sponsorship payments.
Assist members with account access and profile updates using the organization’s association management software (AMS) and related systems.
Help onboard new members and maintain member records.
Provide customer service support to exhibitors.
Research and compile contact lists for relevant institutions and companies.
Provide general project management for consulting assignments. Assist in scheduling of webinars and chats, including coordination with other staff members.
Help schedule meetings of member volunteer groups, in coordination with volunteer leaders and staff. Support collection and maintenance of volunteer leader metrics and records.
Provide support for content and speaker coordination for events, including scheduling speaker onboarding meetings, conducting speaker-registration cross-checking, and overall event data support.
Support administration of professional development courses, including responding to inquiries, registration, and faculty support.
What You’ll Need:
First and foremost, in keeping with UPCEA’s efforts to align staff roles with professional competencies to facilitate skill-based hiring, applicant skills and competencies will be reviewed based on the role’s responsibilities.
An undergraduate degree or equivalent is preferred due to UPCEA being a professional association for higher education professionals.
Experience in association, nonprofit, or higher education contexts a plus.
Experience in a member-facing role or managing customer inquiries is highly valued.
Travel is required to 2-4 conferences per year.
UPCEA is a hybrid/remote workforce.
