Role Description
The Operations Assistant is a full-time, on-site role based in Sydney, NSW. This role supports day-to-day operational activities, including processing and monitoring foreign exchange transactions, maintaining accurate records, assisting with reconciliations and reporting, and supporting internal workflow coordination. The Operations Assistant will help ensure adherence to internal procedures, compliance requirements and risk management controls, while working with internal teams to resolve operational matters in a timely and professional manner.
In addition to operational responsibilities, this role will also provide support for marketing operations and brand communication activities. This may include assisting with content planning, social media account maintenance, marketing material preparation, basic copywriting, campaign coordination and content updates across platforms such as LinkedIn, WeChat Official Account, Xiaohongshu and other digital channels.
The successful candidate will support client and partner communication, assist with onboarding and documentation checks, help organise internal and external business materials, and contribute to the continuous improvement of operational workflows, marketing processes and brand presentation.
This role requires a detail-oriented, organised and proactive professional who can manage multiple tasks, communicate clearly, maintain confidentiality and uphold high standards of service, accuracy and integrity.
Qualifications
- Support daily business operations, transaction processing, internal coordination and administrative workflows.
- Assist with monitoring foreign exchange transactions, maintaining accurate records and preparing operational reports.
- Support reconciliations, document checks, client onboarding and internal record management.
- Respond to client, partner and internal team enquiries in a professional and timely manner.
- Assist with compliance-related documentation, customer due diligence checks and risk control procedures where required.
- Help identify operational issues, follow up outstanding matters and support workflow improvements.
- Assist with marketing operations, including content planning, campaign coordination and brand communication support.
- Support social media content preparation for LinkedIn, WeChat Official Account, Xiaohongshu and other platforms.
- Assist with basic copywriting, editing, proofreading and organising marketing materials.
- Help prepare simple visual materials, presentations, company announcements and promotional content.
- Track basic content performance, market trends and competitor activity to support content ideas and marketing improvements.
- Coordinate with internal teams to ensure operational and marketing tasks are completed accurately and on time.
Qualifications
- Strong operations and administrative support skills, with experience supporting day-to-day financial, business or office operations.
- Well-developed analytical skills, including the ability to review transaction data, identify discrepancies and support risk and compliance processes.
- Excellent communication skills and customer service abilities to interact professionally with clients, partners and internal stakeholders.
- Interest in marketing operations, social media, content creation, brand communication or digital platforms.
- Good writing, editing and proofreading skills, with the ability to assist in preparing professional business and marketing materials.
- High level of accuracy, attention to detail and organisational skills, with the ability to manage multiple priorities in a fast-paced environment.
- Proficiency with common office software, including Microsoft Excel, Word, Outlook and PowerPoint.
- Experience with Canva, CapCut, Adobe, Figma, WeChat Official Account, Xiaohongshu, LinkedIn or other content tools is highly regarded.
- Prior experience in financial services, foreign exchange, payments, banking operations, marketing support, administration or a related field is advantageous.
- Relevant tertiary qualification or equivalent experience in finance, business, economics, marketing, communications or a related discipline is preferred.
- Mandarin or Cantonese language skills are highly preferred due to our client base, business operations and marketing communication needs.
