About the Role
We’re looking for a detail-oriented, process-driven Operations Assistant to support our sales, account management, and administrative operations. You’ll be responsible for ensuring data integrity, following up with prospects, keeping account managers accountable, and assisting with occasional phone outreach.
Key Responsibilities
✅ Email & Prospect Follow-Ups
Follow up with leads who have completed a form or visited our website
Use Freshdesk and Google Workspace to manage email outreach
Follow provided templates, but craft original responses when needed
Make occasional follow-up calls via Zoom Phone to unresponsive prospects
✅ Data Management & Reporting
Update Google Sheets with sales data, outstanding plugin updates, and past-due client balances
Cross-check data with our billing software (ChargeOver) and WordPress management tools
Identify inconsistencies and bring them to the attention of leadership
✅ Team Coordination & Accountability
Follow up with Account Managers via Slack to ensure website updates are completed
Track outstanding tasks and proactively remind team members
Communicate updates and potential bottlenecks to leadership
✅ Phone & Administrative Support
Occasionally call vendors for refunds, billing issues, or clarification
Assist with appointment scheduling and accounts receivable payments
What We’re Looking For
✔ Strong administrative background with a passion for compliance and task completion.✔ Extreme attention to detail—the fewer revisions needed, the better.✔ Proactive problem solver who asks the right questions.✔ Excellent written & spoken English (C2 level or better).✔ Comfortable usingFreshdesk, ClickUp, Google Workspace, ChargeOver, Zoom, and Slack.✔ Reliable internet connection and professional home office setup.

Training & Onboarding
🛠️ You’ll shadow our Professional Services Manager and Company President for the first three weeks to gain hands-on experience and understand our processes.
