About The Role

As an Operations Assistant, you will provide essential administrative and logistical support to the Operations Team. You’ll work closely with the Operations Coordinator, Manager, and Director to ensure smooth daily business functions. This role is ideal for someone who enjoys organizing, problem-solving, and keeping operations running efficiently.

⏳ This is a fully onsite role, Monday – Friday, based in our Houston office.

Commuting Requirement

Candidates must be available for onsite work daily and should have a practical commuting distance to ensure reliability and punctuality. Applicants should have a reasonable commute to ensure daily attendance without relocation assistance.

Key Responsibilities

Administrative & Office Support

Assist in managing schedules, document organization, and task tracking.

Maintain paper and electronic filing systems, ensuring accuracy.

Provide calendar management for operations leadership.

Onboarding & HR Support

Assist with new employee onboarding, including paperwork and scheduling.

Help prepare onboarding kits and coordinate with IT for system access.

Support payroll processing by maintaining timekeeping records.

Respond to employee inquiries regarding benefits and general HR tasks.

Financial & Accounts Support

Assist in preparing and tracking invoices for accounts receivable.

Follow up on outstanding payments as part of collection efforts.

Office Operations & Logistics

Maintain supplies inventory and ensure common areas remain clean and organized.

Greet and direct office visitors, handling incoming/outgoing mail.

Assist in event planning and meeting coordination.

Required Skills & Competencies

Attention to detail and accuracy

– ensuring records, reports, and tasks are completed correctly.

Strong organizational and multitasking abilities

– ability to juggle multiple administrative tasks.

Proficiency in Microsoft Office (Excel, Word, Outlook)

– ability to handle spreadsheets, emails, and reports.

Professional and friendly communication skills

– both written and verbal.

Time management and ability to meet deadlines

– keeping track of schedules and responsibilities.

Problem-solving and adaptability

– ability to anticipate needs and find solutions.
