This position is with the Office of Administration Division of Facilities Management, Design, and Construction (OA-FMDC) supporting the Administrative Services Unit. Prioritize excellent customer service for a wide and diverse network of internal and external stakeholders, including but not limited to internal teams, state agencies, state officials, contractors, and the public.
Prioritize and execute a variety of clerical, administrative, and office-related tasks.
Establish and maintain filing and record systems utilizing a variety of software applications such as Microsoft Office suite, Adobe, SharePoint, Smartsheet, shared drives, and others.
Draft, edit and proofread a variety of documents including but not limited to procedures, guidelines, newsletters, and other communications.
Serve as a liaison for a variety of support related functions including greeting visitors, answering phones, coordinating deliveries and events.
Provide general support of divisional programs such as the preparation of records for storage and/or archiving, printing and preparing materials for events and meetings, coordinating meetings, and managing follow up action items.
Operate under general supervision to carry out assigned responsibilities independently within established guidelines and procedures.
Occasionally travel to other facilities to deliver equipment, supplies, uniforms, and other materials.
Assist with special projects and other duties as assigned.
Ability to communicate, collaborate, and operate with integrity in a manner that inspires trust and builds positive rapport with a diverse group of stakeholders and the public.
Good verbal and written communication and customer service skills.
Excellent time management, organizational, and planning capabilities.
Ability to prioritize and execute work independently with minimal supervision.
Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
Excellent attendance, work ethic, attention to detail, and critical thinking skills.
Possess and maintain a valid driver’s license from Missouri or from an adjacent state if you reside outside of Missouri.
Lack of post-secondary education will not be used as the sole basis denying consideration to any applicant.
Successful background check results are required for employment in this position. This may include background checks involving a candidate’s name and/or fingerprints and other screenings as needed for the specific position.
This position is in an office environment and job duties may include prolonged periods of seated work at a desk, typing, written and verbal communication, problem solving, and the occasional ability to lift/carry up to 50 pounds. This list is not all inclusive, but a general representation of duties that may be encountered in this position; however, other duties may be assigned contingent upon business needs. Please note, this position is considered a “Category 2” under the Fair Labor Standards Act (FLSA), meaning the incumbent will be compensated for overtime (hours actually worked over forty hours in a workweek) at the rate of time and one-half.
