We are seeking a detail-oriented and highly organized Operations Assistant with a strong focus on scheduling to support our client, a security company, in Studio City, CA. In this role, you will be responsible for coordinating and managing the schedules of various team members, resources, and activities to ensure the efficient operation of our business. You will play a key role in optimizing workflow, maintaining effective communication, and supporting the overall operational needs of the organization.
Key Responsibilities:
1. Scheduling Management:
Coordinate and manage the daily, weekly, and monthly schedules for team members, resources, and projects.
Organize meetings, appointments, and travel arrangements, ensuring all scheduling conflicts are resolved proactively.
Maintain and update team calendars, ensuring accurate availability and timely scheduling adjustments.
2. Communication & Coordination:
Serve as a point of contact for all scheduling-related inquiries and requests from internal teams and external partners.
Liaise with team members and departments to ensure proper resource allocation and avoid scheduling conflicts.
Communicate schedule changes, updates, and confirmations effectively.
3. Documentation & Reporting:
Maintain up-to-date scheduling records, logs, and related documentation in compliance with company policies.
Assist in preparing weekly or monthly scheduling rosters for clients and events.
Reviewing guards’ timesheets for accuracy before payroll processing.
4. Support Operations Team:
Assist the operations manager in the coordination of special projects, events, and activities that require planning, scheduling or equipment.
Ensure seamless transitions between shifts, activities, and tasks to maintain operational continuity.
Provide administrative support to other team members as needed to facilitate smooth operations.
5. Problem-Solving & Issue Resolution:
Proactively identify and resolve scheduling conflicts or issues to minimize operational disruptions.
Suggest improvements to scheduling systems or processes for enhanced efficiency.
6. General Administrative Support:
Perform various administrative tasks, such as organizing documents, managing expired licenses and maintaining office supplies as required.
Assist with other operational tasks and projects as needed.
Qualifications:
Associate degree or higher preferred.
Proven experience in scheduling or administrative roles (preferably in an operations environment).
Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks efficiently.
Excellent written and verbal communication skills.
Ability to handle confidential information with integrity and professionalism.
Strong attention to detail and accuracy in scheduling and record-keeping.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) or equivalent software; experience with scheduling tools or project management software (e.g., Tsheets, Google Calendar, Google Docs) is a plus.
Ability to work independently and as part of a team.
Strong problem-solving skills and the ability to think quickly in a fast-paced environment.
Working Conditions:
Part time while training. Thereafter, fulltime.
4 days a week at Studio City office, remaining work hours remote.
On call on weekends, when needed.
Compensation:
$23-$25/hr for 20-30hrs per week for first 3 months while training.
Full time salary after training has completed
