We are seeking an Operations Coordinator to ensure our team of 40 has the world-class support and seamless infrastructure required to stay focused on high-impact work.
Reporting to the Operations Manager, you will be a central point of contact for the entire team. This is a role for an experienced professional who can seamlessly pivot between HR administration, office co-ordination, and being the internal product owner of our project management software.
Key Responsibilities
1. People & HR Administration
- Onboarding Excellence: Coordinate the logistics of bringing on new team members, from screening candidates to organising interviews to their first-day desk setup.
- Records Management: Manage employee documentation with total discretion and attention to detail.
- Training & Development Administration: Ensure all team members are up to date with mandatory training and certifications.
- Internal Communications: Help draft and distribute company-wide updates, ensuring our team of 40 stays informed and connected.
2. Project Management Software Champion
- Drive Insight: Be our internal ‘Product Owner’ for our project resourcing and management software, ensuring it remains our ‘single source of truth’.
- Keep Us Accurate: Keep our software tidy by checking that data is kept current across the company. You’ll ensure that deadlines and progress are always visible and accurate so the team can rely on the information they see.
- Support Resourcing: Help us balance workloads effectively by tracking the team’s allocations and play a key role in identifying opportunities for team members’ personal development, ensuring people are on the right projects to grow their skills without being overstretched.
- Promote Adoption: Help elevate the profile of our project management software across the company. You’ll ensure it’s not just a back-end tool, but the primary reference point for updates and team discussions.
- Provide Expertise: Provide ongoing training and troubleshooting for the team.
3. Office Environment & Workplace Experience
- The ‘Office Flow’: Ensure the office is a high-standard environment, including managing supplies and the general ‘flow’ of the space.
- Culture & Connection: Help coordinate team lunches, social events, and company-wide meetings and updates.
- Hosting: Act as the friendly face of the office for visitors and any incoming deliveries.
- Supporting Others: Act as a flexible resource for the wider team, supporting initiatives such as Business Development and Marketing.
4. Systems & Compliance
- Health & Safety Coordination: Help maintain our compliance standards, including fire safety, first aid coordination, and workstation (DSE) assessments.
- Information Architecture: Ensuring the company’s shared drive (SharePoint) stays organised and that team members are following a naming convention.
- Contract Administration: Centralise and track all office-related contracts (leases, insurance, software subscriptions), ensuring renewal dates are flagged well in advance to the Operations Manager.
Who You Are
- Experienced All-Rounder: You have a solid background (3–5 years or more) in an office, operations, or HR admin role. Ideally you have experience working within a consultancy or professional services firm, so you understand the fast-paced nature of client-deliverable deadlines and the importance of accurate resourcing.
- A Small-Medium Sized Company Specialist: You thrive in a boutique environment and ideally a growing team. You enjoy the variety of a ‘wearer of many hats’ and understand that in a growing company like Edge Health, your proactivity directly shapes our culture and efficiency.
- A Natural with Software: You’re a go-to for tech. You have experience and enjoy learning new software, setting up an organised folder structure, or creating a helpful Slack integration just because it makes life easier.
- The Go-To Person: You take pride in being helpful. Whether it’s helping a new hire book annual leave or helping a teammate figure out a project management template, you enjoy being the person with the answers and a ‘no task too small’ mindset.
- Highly Organised: You enjoy a good checklist. You can keep track of HR documents, office supplies, and health & safety dates without letting things slip through the cracks.
