POSITION OBJECTIVE: The objective of the Administrative Assistant is to provide helpful guidance to all people who call or come into the office, to provide quality administrative assistance to the departments within CTSI, to provide quality administrative processing and control assistance within the accounting department, and to maintain a personable yet professional office environment for our clients and co-workers.
DEPARTMENT MISSION: The mission of the Administrative Services Department is to provide exceptional service with complete professionalism, collaboration and mutual respect to clients, vendors, all members of the CTSI team, and the public as we support and promote the mission and goals of CTSI.
DUTIES: ADMINISTRATIVE ASSISTANT
Greeting/welcoming guests in a professional manner while providing a high level of customer service
Answering the phone in a courteous and professional manner and routing calls to departments or persons
Maintain lobby area to reflect a professional yet welcoming environment
Scheduling and coordinating meetings, events and other similar activities
Processing company mail and maintaining the mail room in an organized manner, including keeping all office equipment stocked and maintained
Shredding confidential records as received in a timely manner
Receiving faxes and routing to correct recipient
Managing and ordering office and kitchen supplies
Maintain kitchen, including, but not limited to, making coffee in the morning, cleaning the kitchen/break room and restocking drinks/snacks every day, and assessing needs on an ongoing basis
Assist with maintaining and organizing document and record storage in compliance with company retention policies and related retention laws
Serve as the primary Testing Administrator for CTSI’s public testing center
Be the primary backup to the accounts receivable clerk, including but not limited to: posting and entering deposits, emailing missing invoices to clients, re-directing customer questions, etc.
Assisting in various daily operations and/or other duties as assigned
GENERAL JOB DUTIES:
Expected working hours are 7:45 am – 1:00 pm Monday thru Friday, with flexibility to be able to work additional hours as needed (infrequent basis)
Operating a range of office machines, such as computers, fax machines, printers, shredder, etc.
Maintain professional appearance and courteous behavior at all times
Strong work ethic

Teamwork and collaboration skills
QUALIFICATIONS AND PREFERRED SKILLS:
Preferred: 2-3 years’ experience with accounts receivable or general accounting
Preferred : Knowledge of basic accounting principles
High school diploma (or equivalency)
Answer the phone clearly and distinctly
Computer and office equipment usage skills
Proficient in Microsoft Office and Excel
Proficient in spelling and grammar skills
Attention to detail
Strong time management and organization skills
Ability to work independently and prioritize tasks
Be able to operate a motor vehicle and have reliable transportation for CTSI errands outside of our location. Must have a valid driver’s license and insurance along with a responsible driving record.
PHYSICAL DEMANDS
Ability to lift and or move up to 40 pounds on occasion
Capable of climbing stairs and performing duties involving walking, sitting, or stooping
COMPENSATION
The compensation is expected to start at $15.00/hr. Our offer will be determined by multiple factors including candidate experience and expertise and may vary from the amount listed above.
