Compensation Range:
$24.91 – $34.87
The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job’s compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
Responsibilities:
Implements administration/management activities within a department. Develops and maintains departmental policies and procedures. May supervise and/or provide direction to associate-level staff. May oversee specific departments or functions. With limited direction, plans, organizes, and coordinates business operations in accordance with strategic goals within the organization and works on special projects as directed.
RESPONSIBILITIES:
Operations
Workday and COGNOS : Manage budgets, accounts payable, project accounting, ensure all transactions and invoices are
entered in a prompt and accurate way.
UR FINANCIALS : Enter payments for speakers, faculty/student reimbursements,
CLASP and IORA : Maintain certification and use for grant administration
UKG and myURHR for payroll approval, personnel forms preparation for faculty, graduate and undergraduate students.
Advise and onboard new faculty hires, graduate students and undergrad peer leaders
UR Procurement: purchasing of supplies and equipment
UR SPACE and Online Facilities Requests to coordinate with services for maintenance and repair of all physical aspects of
department and space
CASCADE Update and maintain department webpages
TDC manage online directory information
LISTSERVE manage and update mailing lists and student lists
UR STUDENT Entry of course information for each term
Events
PCard and Wegmans online purchases and purchase of refreshments for events
Virtual EMS coordinate space for events and classes
Contact speakers and make arrangements ﴾lodging and meals﴿ for colloquia and other events. Advertise and invite internal and external contacts, make travel arrangements, book rooms, coordinate AV support, reimburse for expenses
Plan department fall event and end of semester event
Plan graduation ceremony contact students and their families, develop program, newsletter, catering
Purchase supplies for weekly Philosophy Council and coordinate with group president
Graduate Program
HRMS‐ Generate 506 forms for graduate student stipends, health fees, tuition waivers and payments
Advise graduate students, their faculty advisors and director of graduate studies on matters of registration, program deadlines, grading
Box Maintain and develop graduate records and files for each student to ensure program requirements are being met according to University guidelines
SLATE manage online application system process for prospective graduate student applications
Sharepoint advise graduate student and guide them in the final stages of their program
Coordinate annual graduate essay contests and teaching assistant awards
Faculty
FORT II Coordinate faculty recruitment and applications in recruiting process
Intranet and Box Compile materials for faculty reappointments and promotions
Intranet and Workday Process travel and expense reimbursements and reconcile with legers and shadow system research accounts
Undergraduate program
Course management
JobLink: Assure compliance and coordinate hiring and payroll approval of student peer leaders.
Update brochures and supply all materials for annual academic open house
Other duties as assigned.
QUALIFICATIONS:
Bachelor’s degree and 3 years of experience in a business operation or administrative role required
Or equivalent combination of education and experience
KNOWLEDGE, SKILLS AND ABILITIES:
Adept at learning new technologies to perform data entry, manage calendars, and creating reports required
Proficient in Microsoft Office applications required
Strong time-management and organizational skills required
Excellent written and verbal communication skills required
