Administrative Assistant-Scheduler

Key Responsibilities:

Answer phones and respond to customer inquiries
Dispatch leads to appropriate sales representatives
Handle job intake and job scheduling using company protocols and software
Respond to emails and maintain organized digital records (e.g., photos, job files)
Support the sales team with administrative needs and reminders
Monitor voicemail and return messages promptly
Follow up with clients for confirmation
Assist with job costing and daily work audits
Assist with special projects and serve as backup for other admin tasks
Help maintain a clean and organized office

What We’re Looking For:

Strong communication and organizational skills
Prior administrative or scheduling experience is a plus
Ability to multitask and thrive in a fast-paced environment
Proficiency with email, phone systems, and office software
A proactive, team-oriented attitude
