Job Summary
The HR & Executive Assistant is a dynamic, dual-function role combining essential human resources support with executive administrative assistance. This position requires a proactive professional who thrives in a fast-paced environment and excels in HR generalist responsibilities, including payroll management, benefits coordination, employee relations, recruitment support, and compliance.
Additionally, the role provides high-level administrative support to the HR Director and CEO, managing calendars, scheduling, communications, and facilitating seamless operations across departments. This individual will play a key role in reinforcing organizational culture, streamlining HR operations through technology integration, and supporting executive-level initiatives. This is an on-site, full-time role at our laboratory headquarters in Van Nuys, CA.
Key Responsibilities
Human Resources Support
Support implementation of HR strategies aligned with company goals and culture.
Coordinate payroll processes, track PTO and sick leave, and manage timely, accurate compensation.
Administer employee benefits programs, including 401(k) (Morgan Stanley) and health plans (Anthem, Guardian, VSP).
Maintain compliance with all federal, state, and local employment laws; update company policies regularly.
Assist in employee relations, including conflict resolution, performance management, and disciplinary actions.
Oversee full-cycle recruitment and onboarding, including job postings, interviews, and new hire orientation.
Maintain and improve HR systems and recordkeeping, primarily using ADP.
Executive Assistant Support
Provide comprehensive administrative support to the CEO and HR Director, including calendar and meeting management.
Act as liaison with employees, vendors, and external partners to support executive communications.
Track and follow up on key projects and deadlines on behalf of leadership.
Manage office operations, including supply inventory, vendor coordination, and facility needs.
Prepare professional documents, presentations, and reports while maintaining confidentiality.
Qualifications
Bachelor’s degree in Human Resources, Business Administration, or a related field.
3+ years of experience in HR generalist and executive administrative roles.
Strong knowledge of HR practices, employment law, payroll, and compliance.
Proficient in ADP and other HRIS systems.
Excellent organizational, communication, and interpersonal skills.
Ability to handle sensitive information with the utmost professionalism.
SHRM-CP or SHRM-SCP certification preferred.
