Job Description Summary
Performs a variety of complex administrative tasks involving some discretion and requiring moderate amounts of independent judgment related to the oversight of the daily operations of a University administrative unit.
This position will dedicate 50% of its time supporting the administrative needs of the Myaamia Center and the Miami Tribe Relations Office, and 50% to supporting the administrative needs of the Center for Analytics and Data Science (CADS). Both centers report to the Office of Research and Innovation.
Job Description
Characteristic Duties and Responsibilities—Essential Functions
Monitors and reviews operations of unit; ensures smooth work flow; ensures work product meets professional standards.
Serves as informational resource to staff; investigates and resolves problems or difficulties related to area of expertise.
Assists University staff, faculty, and students; answers inquiries and provides information.
Oversees staff; assists in the enforcement of policies and procedures; establishes schedules and reviews performance.
Gathers and analyzes statistical information regarding department’s programs and activities; produces reports.
May assist in the performance of various financial and budgetary tasks including preparing and monitoring budgets, preparing fiscal reports, or processing payments; may maintain inventory of supplies.
Minimum Requirements
Requires nine months of coursework or training beyond high school in Business Administration and three years of related experience, or an equivalent combination of education and expertise

Other Essential Duties:
Maintain complex budgets for the Myaamia Center and Miami Tribe Relations Office as well as the budgets for CADS.
Reconcile staff purchasing cards and process reimbursements.
Coordinate, submit payments, and track budget for Apprentice program.
Submit GA nominations annually for the upcoming year.
Submit new jobs in Workday for both students and staff.
Create and submit Period Activity Pay for Center part-time employees.
Renew part-time and temporary staff positions annually.
Renew annually Professional Service Agreements for consultants and service providers.
Create invoices and pay via Workday. Monitor budgets for current grants.
Create detailed spreadsheet tracking all expenses etc.
Create, proof, and/or update a variety of documents, spreadsheets, staff/office calendars using Microsoft Office applications.
Coordinate travel arrangements (airfare, ground transportation, lodging, etc.) for staff and campus visitors.
Maintain details of travel itineraries.
Assist with scheduling and coordinating special events, activities, and projects.
Provide support in coordinating the annual January bus trip to Miami, Oklahoma, as well as the biennial full-day conference.
Additionally, assist in planning, coordinating, and budgeting the annual DataFest student competition for CADS.
Other Duties as assigned.
