PickUpShi is building Georgia’s Out-of-Home Delivery and PUDO infrastructure, connecting e-commerce platforms, logistics providers, merchants, and local retail locations into one technology-enabled pickup and delivery network.

By turning local businesses into pickup points, PickUpShi helps reduce failed deliveries, lower last-mile delivery costs, improve customer convenience, and create new revenue opportunities for retailers.

As we prepare for pilot launch, we are looking for a reliable, organized, and proactive Execution Coordinator to support the Founder’s Office and help move daily execution forward.

This role combines founder support, task coordination, hiring support, partner communication, documentation, and basic operational coordination. It is a hands-on role for someone who enjoys turning discussions into clear tasks, tracking open items, following up with people, organizing information, and making sure important things do not get lost.

What you will do

  • Track daily tasks, deadlines, follow-ups, and open items
  • Turn discussions, meetings, voice notes, and decisions into clear action points
  • Maintain task trackers, candidate trackers, partner trackers, and follow-up lists
  • Prepare and update Google Sheets, Google Docs, and internal documents
  • Support hiring processes: collecting CVs, contacting candidates, sending screening questions, scheduling interviews, and updating candidate statuses
  • Write and edit job posts, candidate messages, partner messages, and follow-up texts
  • Call candidates, partners, merchants, suppliers, or service providers when needed
  • Schedule meetings and prepare short meeting summaries
  • Follow up with people until there is a clear answer, next step, or decision
  • Help organize SOPs, checklists, operational documents, and pilot preparation files
  • Support merchant, partner, and pickup point communication when needed
  • Prepare short daily summaries of what is done, what is open, what is blocked, and what needs a decision

What this role is about

This role is about execution, organization, and follow-up. A strong candidate does not only say “noted” or “done.”

A strong candidate helps clarify:

  • Who owns this?
  • What is the deadline?
  • Did they reply?
  • What is blocking this?
  • What is the next step?
  • Does the founder need to make a decision?

The goal is to make sure important tasks, people, messages, and deadlines are not missed.

  • Comfortable speaking on the phone
  • Good at follow-up and written communication
  • Able to organize messy information into clear next steps
  • Comfortable working in a fast-moving startup environment
  • Practical, calm, and solution-oriented
  • Not afraid to ask questions
  • Able to handle different types of tasks during the same day

Relevant experience may come from

  • Executive assistance / Assistant to CEO, founder, or manager
  • Office management / Administrative coordination
  • Operations or project coordination
  • HR or recruitment coordination
  • Customer support coordination
  • Logistics, transport, or warehouse administration

Experience in logistics, transport, courier, warehouse, retail, or startup environments is a plus.

Required skills

  • Fluent Georgian
  • Good working English
  • Strong written communication
  • Comfortable speaking on the phone
  • Good Google Sheets and Google Docs skills
  • Ability to organize information clearly
  • Ability to track tasks and follow up
  • Basic understanding of business communication
