Job Description:
Arizona PBS is seeking an Office Receptionist Sr. for our main front office. This position will greet and direct members and guests, students, and staff, in person, by telephone and via email. Successful individuals in the position will have a high level of customer service, communication and organizational skills all to be delivered in a professional manner. Candidate will also help with a variety of basic business operations tasks to support departmental efficiency and compliance.
Salary: $22.00 – $26.00/hour; DOE
Essential Duties
Serves as the first point of contact for members and guests, students, and staff, directing and answering questions in person and by telephone
Provides general information in response to inquiries in person, by telephone or email
Operates office equipment such as copiers, calculators, word processors, personal computers or other equipment found in work unit
Prepares work orders, supply requisitions, requests for special data or similar actions within established limits and procedures; obtains appropriate signatures
Supervises student workers who provide customer service and clerical support
Schedules meetings and professionally communicate logistics to stakeholders
Works with Customer Service/Membership/Viewer Services/various AZ PBS Events
Oversee other clerical duties, such as processing mail, parking reservations, parking validations, facility requests, conference room reservations, updating directories and other special projects assigned:
Help with reconcile P-Card (Purchasing Card) transactions in a timely and accurate manner, ensuring appropriate documentation and adherence to financial policies.
Process supply orders in accordance with university and departmental purchasing guidelines.
Perform a variety of basic business operations tasks to support departmental efficiency and compliance.
Help with accounts receivable activities, including the receipt, logging, and processing of checks and other incoming payments.
Performs additional related duties as needed to support departmental goals and initiatives.
Desired Qualifications
Experience in providing customer service
Experience performing office/clerical duties
Evidence of effective verbal and written communication skills
Experience in the operation of a variety of office equipment
Experience using Microsoft Word, Excel and Outlook
Experience using Google Drive, Docs and Sheets
Experience setting up meeting logistics and maintaining calendars
Experience in maintaining conference calendars
Working Environment
Activities are primarily performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time.
Bending, reaching, lifting, pushing and pulling up to 25 pounds required at times.
Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
Ability to clearly communicate to perform essential functions.
