We currently have an excellent opportunity for an Operations Team Assistant to join our team on a key client account for the next 6 months with a possibility to be extended or permanent. You will be responsible for providing outstanding customer service and administrative support to our portfolio nationally.
The Opportunity:
Provide full administrative support and assistance to the Director, Portfolio Operations Manager and the wider team as required
Prepare and format reports/meeting agendas, meeting minutes and prepare for final distribution
Prepare monthly expense reconciliations, maintain credit card transactions across the portfolio
Organise meetings, client activities and functions and provide assistance with the organisation of conferences, including identifying venues, organising entertainment & travel arrangements
Organise travel and accommodation for the team when required and maintain accurate travel expenditure records
Maintain the team’s calendars and ensure awareness of daily/weekly movements and provide assistance when necessary
Assist with onboarding and offboarding of employees
Liaise with internal and external clients and deal with all incoming inquiries in a timely and efficient manner to ensure the Client’s expectations are met/exceeded
Maintain portfolio document management systems and ensure file management systems are kept up to date and filing is undertaken on a regular basis as required
Actively contribute to team meetings demonstrating a willingness to share ideas and information to improve operational procedures.
About You:
Expert level and experience of core Microsoft Packages – Office, Word, Excel, Outlook, PowerPoint
Experience in Administration within a fast-paced office environment
Excellent communication and customer service skills and the ability to interact with a broad range of stakeholders
Attention to detail to ensure accurate data entry and reporting
Strong organisational skills, the ability to problem solve and prioritise multiple tasks.
Ability to take initiatives and work with minimal supervision.
