Position Overview:
We are seeking an experienced, highly organized, and proactive Bilingual (Spanish/English) Administrative Assistant to join our team. This key position plays a critical role in ensuring the seamless daily operations of our center, supporting the admission process, and delivering top-tier administrative support. The ideal candidate is a detail-oriented professional with strong leadership skills, the ability to multitask efficiently, and a commitment to providing outstanding service to both staff and members.

Key Responsibilities:

Administrative Leadership & Operational Support:

Serve as the first point of contact by professionally greeting and assisting visitors, ensuring a welcoming and hospitable environment.
Manage incoming calls with efficiency, accurately taking messages and directing inquiries to appropriate personnel.
Oversee and execute a wide range of administrative functions, including document management, data entry, scanning, faxing, and record-keeping.
Proactively support leadership and staff with administrative coordination to enhance overall operational efficiency.
Provide support with ordering supplies and entering expenditures into the budget tracker to ensure financial accountability.
Uphold confidentiality and accuracy in handling sensitive information, ensuring compliance with organizational and regulatory standards.

Member Admission & Enrollment Support:

Provide follow-up with prospective members interested in attending the center, ensuring clear communication and timely responses.
Support the admission process to facilitate smooth and swift enrollment of new members.
Maintain accurate documentation related to admissions and ensure compliance with regulatory requirements.

Attendance Management & Compliance:

Accurately record daily member attendance and update the Electronic Health Records (EHR) system in real time.
Generate, distribute, and maintain attendance logs while ensuring compliance with regulatory requirements.
Analyze attendance trends to optimize scheduling and resource allocation.

Member & Community Engagement:

Conduct guided tours of the center for prospective members, highlighting the benefits of the program and addressing inquiries with professionalism.
Provide proactive follow-up to visitors expressing interest in enrollment, ensuring a seamless onboarding experience.
Foster a supportive and inclusive atmosphere by interacting with seniors and their families with empathy, patience, and attentiveness.
Utilizes routing software to ensure the most efficient and effective routes for our fleet of transportation vehicles.

Technology & Systems Management:

Demonstrate proficiency in Google Workspace and Microsoft Suite to streamline administrative workflows.
Leverage Electronic Health Records (EHR) software to maintain accurate and secure data; prior experience with EHR systems is highly preferred.
Troubleshoot technical issues related to administrative software, ensuring seamless digital operations.

Qualifications & Requirements:

Proven expertise: Minimum of three years in administrative support, operations coordination, or a related leadership role.
Bilingual fluency in English and Spanish is required.
Exceptional organizational skills with meticulous attention to detail and the ability to manage multiple priorities effectively.
Strong problem-solving abilities and proactive decision-making skills in a fast-paced environment.
Advanced technological proficiency, including experience with Google Workspace, Microsoft Office Suite, and scheduling software.
High level of professionalism with excellent communication and interpersonal skills.
Ability to work independently while collaborating effectively within a multidisciplinary team.
Previous experience in healthcare administration, senior care services, or admissions coordination is strongly preferred.
Physical Requirements: Must be able to lift and carry up to 25 lbs as needed for operational and administrative tasks.

Reporting Structure:

Reports directly to the Program Director of Santa Maria Wisdom Center.

Schedule:

Monday to Friday, 8:00 AM – 4:30 PM, hours are negotiable to some extent.

Pay: $22.00 – $26.00 per hour
