Job Description

Central Methodist Church (GMC) — Asheboro, North Carolina

Purpose: To conduct the office and business affairs of the church in a Christ-like manner. To work in accordance with policies set forth by the Global Methodist Church and Central Methodist Church of Asheboro, North Carolina.

Salary Range: The position of the Office and Business Administrator at Central Methodist Church of Asheboro, NC, will have an annual pay in the range of $50,000 to $52,000 – depending on experience.

o Basic bookkeeping and accounting skills.

Financial Duties

o Provide oversight and direction to the financial affairs of the church.

o Ensure that church property is insured and maintained.

o Maintain vacation and sick leave files for support staff.

o Maintain general ledger using church accounting software (the payroll for the staff will be outsourced).

o Enter all data into church financial software.

o Perform month-end procedures and prepare financial statements for both church and Day School.

o Enter new tithing pledges annually.

o Reconcile contribution envelopes on Monday mornings (to balance with money counters’ totals) and prepare totals for weekly email newsletter.

o Do data entry on all contributions.

o Make bank deposits.

o Prepare and mail quarterly statements of contributions.

o Prepare and records bank deposits.

o Process accounts payable invoices; manages communication with vendors.

o Prepare requested checks for signatures.

o Maintain files of all financial records for the church.

o Perform year-end and close-out procedures for church and Day School.

o Receive telephone inquiries regarding accounts receivable, payable and contributions.

o Attend Finance Committee meetings.

o Manage staff credit cards.

o In conversation with the Finance Committee Chair, review all reconciled bank statements.

o Record and file N.C. Sales Tax Reports every 6 months.

Office Duties

o Answering telephones and receiving visitors.

o Keep church records up to date – membership, baptisms, weddings, funerals, etc.

o Receive and distribute mail.

o Maintain bulletin board outside church office – posting items of concern.

o Assist in collecting information and preparing Charge Conference materials.

o Maintain all user/system files and programs.

o Notify Bereavement Coordinator of social concerns about deaths for the purpose of serving the family a meal when there is a funeral.

o Run labels for Church Staff in sending out envelopes and reports.

o Make sure that the computer network is accurately running (networking, backups, etc.).

o In conversation with the Trustees Committee Chair, work with contractors to make sure the facility is working properly (heat, air, water, electrical, etc.).

o Work with custodians on continual and special event use of the church facility.

o Order church and office materials as needed.

o Schedule church facilities and check out equipment and keys.

o Contact Communion Stewards to remind them of Communion Sunday needs (this is done once a month).

o Contact the New Baby Ministry Coordinator when there is a birth of a child or grandchild in the church.

o Maintain list, send out invitations, and prepare the publication of names for All Saints Sunday.

o Perform other tasks as directed by the Senior Pastor and/or the Staff Parrish Committee.

Supervision

o The Senior Pastor gives general supervision to the Church Staff. The Staff-Parish Committee is the committee charged with dealing with personnel matters.

Salary and Time Off

o The Office and Business Administrator’s normal hours are 8:30 A.M. to 4:00 P.M., Mondays through Thursdays – and 8:30 A.M. to Noon Fridays (including a 30 minute lunch break each day).

o Time off, other than legal holidays, will be cleared with the Senior Pastor.

o Vacation policy will be discussed during the interview process.

o Salary shall be annually reviewed by the Staff-Parish Committee with recommendations made to the Finance Committee for approval. All salaries are eventually approved by the passing of the annual budget at the Charge Conference in November.
