Job Description

The Executive Assistant to the Provost/Chief Academic Officer, National Dean of VN/PN, and National Dean of BSN/MEPN Programs provides high-level administrative support to senior leadership, ensuring efficient management of schedules, communications, and strategic initiatives. This role serves as a trusted partner, enabling executives to focus on organizational growth and decision-making.

Job Responsibilities

  • Handle sensitive information with professionalism and confidentiality.
  • Manage complex calendars, travel arrangements, and meeting logistics for executives.
  • Formulate high-level correspondence, reports, presentations, and confidential documents, including editing, proofreading, and assisting with oral communication preparation.
  • Prepare C‑Suite level presentations and formal reports for meetings.
  • Compile thorough data through research and analysis, creating reports and developing insightful, leadership‑ready presentations.
  • Generate reports; prepare and submit a variety of weekly, monthly, quarterly, and annual reports.
  • Facilitate and coordinate meetings when needed, track action items, follow up, and prepare and distribute detailed agendas.
  • Contact Management: answer/return phone calls and emails on behalf of executives.
  • Expense report preparation, process credit card expenses and receipts; manage purchasing and invoices for Corporate Academics.
  • Anticipate the leaders’ needs and proactively solve problems, making decisions independently.
  • Coordinate requests involving multiple departments.
  • Independently manage, prioritize, and respond to the National Deans’ emails, ensuring timely communication and appropriate follow-up consistent with the Deans’ direction and priorities.
  • Support academic projects by managing documentation, tracking milestones, progress, and following up with project team stakeholders.
  • Event management, from initial planning and budgeting through execution and evaluation; coordinate venues, vendors, materials, and communications to deliver professional, well‑organized departmental and corporate events.

Qualifications

  • Associate Degree with 5 years related experience.
  • Minimum 3 years of executive support experience to senior management and/or C‑Level executives in a corporate or educational setting.
  • Minimum 3 years of calendar management experience and a minimum of 1 year of travel management experience.
  • Advanced Microsoft Office skills (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat.
  • Must have attention to detail.
  • Excellent skills in oral, written, and interpersonal communications.
  • Teamwork style that emphasizes collaboration, teamwork, and facilitation.
  • Demonstrated ability to effectively prioritize and manage multiple tasks simultaneously in a fast‑paced environment, able to remain focused and shift priorities as needed.
  • Highly adept at computer‑based resources.
  • Previous experience demonstrating ability to actively learn, listen, and take on multitude of tasks with a positive attitude.
  • Demonstrated ability to prioritize, anticipate, and stay proactive.
  • Caring and positive attitude.
