Full Time Administrative Assistant Position Description

Ergon A & E is looking for an Administrative Assistant to join our team at our Asphalt plant in Cheyenne, WY. As an Administrative Assistant you will work as part of a team to ensure the overall operation of the terminal including basic functions such as receipt of raw materials and asphalt products, record-keeping requirements, SAP, and various computer-oriented tasks. You will coordinate with schedulers for the successful delivery and receipt of asphalt products (by truck and rail) to meet customer demands.

Under Direct Supervision of Plant Manager Responsibilities include:

· Communicate with customers, employees, sales, and other individuals to answer questions, distribute or explain information, take orders, and address/document customer complaints.

· Participate in product transportation logistics planning

· Compile, copy, sort, and file records of office activities, business transactions, and other activities.

· Review files, records, and other documents to obtain information to respond to requests.

· Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer.

· Answer telephones, direct calls, and take messages.

· Operate office machines, such as photocopiers and scanners, facsimile machines, voice mail systems, and personal computers.

· Ensure product shipment and receipt paperwork requirements are met and processed in a timely manner.

· Maintain office supplies.

· Receive and process orders.

· Handle Mail & shipping/receiving for office and shipping product samples for plant.

· Be involved with or assist with the facilities driver certification process, contractor orientation, and visitors sign in.

During the production / shipping season, you are willing to be available for work during nights/early morning as required by the number of personnel vs. workload.

Requirements:

· High school diploma or equivalent

· A valid driver’s license

· Must pass pre-employment drug screen

· Basic Math Skills

· Basic Computer Skills

· Excellent Communication Skills
