Administrative Assistant to Academic Affairs

Kentucky Wesleyan College, a private, liberal arts college with a long-standing reputation for

quality and academic excellence, invites applications for a full-time Administrative Assistant to

Academic Affairs to join our community. This position will provide administrative support to

the Provost and the Office of Academic Affairs.

Major Responsibilities

Greets and assists visitors to the Provost’s Office in a professional and courteous
manner.
Screens, manages, and prioritizes all communication received (e.g., phone calls,
messages, emails, and visitors).
Coordinates appointments, meetings, events, and travel for the Provost. Manages and
maintains the Provost’s calendar.
Prepares and distributes various documents and contracts, compiles data, and proofreads
materials for accuracy and completeness.
Provides administrative support for faculty meetings, including scheduling meetings,
arranging facilities, distributing information, and maintaining records.
Works closely with faculty, including assisting with faculty recruiting, student hosting,
reservations, travel plans, and committee work.
Prepares, distributes, and scans faculty and course assessments.
Plans and oversees special events as requested, including Honors Convocation and

Commencement.

Manages the office, including processing purchase orders, requisitions, and invoices,
ordering supplies, submitting maintenance requests, and assisting with the office budget.
Maintains paper and electronic files, managing confidential records with discretion.
Performs data entry with a high degree of accuracy.
Attends work in person on a regular basis.
Performs other duties as assigned.

Qualifications

Five years of previous experience, preferably in an executive role and/or a higher
education setting.
A bachelor’s degree is preferred.
Must be very comfortable operating general office equipment such as computer, copy

machine, scanner, and phone.

Proficient with MS Office.
Excellent communication, interpersonal, and organizational skills with attention to detail.
Able to work independently, amid interruptions
Able to prioritize among multiple tasks and meet deadlines
Handle confidential information appropriately and with discretion.
