Job Description

PURPOSE OF POSITION
Providing administrative support by performing a variety of organizational and secretarial functions in the Ambulatory Care Administration, embodying the ICARE methodology (Integrity, Compassion, Accessibility, Respectability and Excellence} to provide excellent patient care and staff relations.

AREAS OF RESPONSIBILITIES
Provide support to the Regional Medical Director, Administrative Director and when needed Nursing Director; as well as to the Community Advisory Board as their Liaison and serve as coordinator for employee engagement activities for Gotham Health, Gouverneur and Post-Acute Care.

SUMMARY OF DUTIES AND RESPONSIBILITIES

1. Departmental

Manage Medical and Administrative Directors’ calendar on a daily basis or as requested, and leadership as needed.
Office Management (Phone calls, mailing, inventory, etc.)
Submission of Purchase Orders (with new or existing vendors}.
Scheduling, planning and coordinating all types of meetings, events and employee engagement activities throughout the year for Gotham Health, Gouverneur and Post-Acute Care. (Room Set-up, Record keeping of attendees, Minutes, WebEx Set Up, IT, Catering, Reminders, Etc.)
Support on the distribution and keeping of clinical and administrative manuals of policies and procedures, Infection Control and Central Sterile.
Act as liaison for department to staff and other facility departments.
Serve as the Patient Connections Campaign Liaison for Downtown Manhattan.
Give support facility wide as Superuser PeopleSoft Supply Chain.
Collection of Press Ganey data.
Manage the facility’s conference rooms and auditorium calendar.
Coordinate Inclusion, Diversity, Equity and Accessibility activities, including designing and disseminating information to all employees.
Serve as patient relations point person during the absence of the Director of Patient Relation.
Complete other tasks as assigned by leadership.

2. Community Advisory Board Liaison:

Provider administrative support to the CAB so that it operates as effectively and efficiently as possible, and implement corrective actions when policies are not being adhered to.
Maintain good understanding of the CAB bylaws and other policies pertinent to the CAB operations and recognize instances when guidelines are not being followed.
Address CAB issues as they arise, including the development and implementation of a corrective action plan.
Arrange and attend all monthly Community Advisory Board (CAB) meetings, including scheduling conference room
Assist the CAB in organizing and preparing the Annual Public Meeting, the Annual Legislative Meeting, and the Annual Legislative Albany Trip .
Minimum Qualifications

1. a. High School Diploma or equivalent, and four years of clerical experience including two years as a stenographic secretary; or,
b. A Baccalaureate Degree from an accredited college or university and one year of experience as a stenographic secretary; or,
c. An Associate Degree with specialization in Secretarial Science and three years of clerical experience, one year of which shall have been as a stenographic secretary.
2. The ability to take dictation accurately, rapidly and to transcribe. Ability to exercise discretion and diplomacy in all internal and external contact relationships and to exercise initiative in the preparation of routine correspondence, in handling administrative details and to maintain confidentiality of all executive and Corporate matters.
3. High level verbal, written and secretarial skills and knowledge required; or,
4. A satisfactory combination of education, training and experience.

Microsoft Office Suite: Word, PowerPoint, Excel and Outlook; Adobe Acrobat Suite, WebEx, Electronical medical Records.

YEARS OF EXPERIENCE:

At least 3 years of experience in a clinical setting, or equivalent.
