About the job

We seek an experienced Administrative Assistant to assist the General Manager with general office clerical, administrative, and operational matters. 

As an ideal candidate, you are personable and professional, attentive to detail, and value information integrity and data privacy. Enjoy working collaboratively in a team environment while maintaining a high work ethic. You excel in customer service and take pride in keeping everything in order.

This role is based in Singapore, working 16 hours per week.

Responsibilities

Assist with the collation and review of AP invoices and payment schedules

General office & clerical duties

Ordering of staff supplies

Liaising with suppliers, vendors, and contractors

Assist with payroll, claims, and other HR matters (onboarding and offboarding of staff)

Responding to requests by the Ministry of Manpower on govt portals (need to be an SG citizen)

Asset and inventory management

Assist with banking matters as required

Preparation and management of Administrative documents

Assist with insurance and maintenance of ISO certification policies and registration renewals

EA duties to GM

Additional duties as required 

Qualifications & Experience

1+ years experience as an EA preferred

Experience using Excel (Pivot Tables, V Lookups, etc.)

Strong organizational skills and attention to detail

Strong communication and interpersonal skills, with the ability to build relationships with internal stakeholders

Excellent analytical and problem-solving skills, with the ability to identify and resolve complex issues

Previous experience in a SaaS business preferred

Singapore residents only

Schedule and confirm meetings

Ensure file organization based on office protocol

Provide ad hoc support around the office as needed

Qualifications

Bachelor’s degree or equivalent experience

Strong interpersonal, customer service, and communication skills

Ability to multitask

Proficient in Microsoft Office suite
