Administrative Assistant (Program Evaluation & University Outreach) Program Evaluation, University Outreach & Graduate Department – Kuwait Cultural Office Los Angeles

The Kuwait Cultural Office Los Angeles, the scholarship division of the Consulate General of the State of Kuwait, is currently seeking to fill one Administrative Assistant position within the Program Evaluation, University Outreach and Graduate Department. Applicants are preferred to have previous experience working in an academic setting.

General Job Description:

Provide the necessary administrative support to the Director of the Program Evaluation, University Outreach and Graduate Department to ensure the efficient operation of the Department. Support the Director through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Become familiar with office and departmental practices and procedures to effectively support the Department. Ability to effectively communicate via phone and email ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.

Assist Director with all administrative duties including but not limited to the maintenance of monitoring tools for Program Evaluation and Authentication, verification/authentication of school records for elementary and secondary degrees, verification/authentication of Associate’s and Bachelor’s degrees, preparation of responses to memos issued by various Ministries and Offices in Kuwait, processing prospective financial support letter and other academic requests from other Cultural Offices, and various other requests.

Responsibilities may include but are not limited to:

Maintenance of monitoring tools for Program Evaluation and Authentication.
Verification/authentication of school records for elementary and secondary degrees.
Verification/authentication of Associate’s and Bachelor’s degrees.
Preparation of responses to memos issued by various Ministries and Offices in Kuwait.
Processing prospective financial support letters and other academic requests from other Cultural Offices.
Assist in gathering information on specific major programs from schools’ websites and contact persons.
Assist in monitoring the number of students by major programs in both private and public schools.
Provide updates on Authentication Guide if new guidelines on authentication are received.
Assist in other Program Evaluation and University Outreach special projects.
Assist with meeting with university officials (whether in-person or via zoom).
Reach out to our university partners as needed to help streamline work processes, collaborate on student reporting from universities/colleges to KCO, and updates on Kuwait Cultural Office or University/College updates to policies.
Work with the Director in reviewing and updating the university majors, approved schools, ESL programs and Merit lists.
Provide coverage for Administrative Assistant (Graduate Department) as well as Scholarship Advisor (Program Evaluation and University Outreach) as needed.
Provide coverage for the front desk as needed.
Other duties as needed.

Requirements:

Bachelor’s Degree is required, preferred degree in International Education, Higher Education, or related field.
Demonstrated ability to conduct research, write reports, present findings, and communicate professionally with university partners as well as colleagues.
Understanding of English as a Second Language, undergraduate AND graduate/post-graduate programs is preferred.
Strong attention to detail and organization are required.
Must be able to work patiently, sensitively, and effectively in cross-cultural scenarios.
Theoretical and operational knowledge of university policies and procedures.
Ideal applicants will have 5-7 years work experience in a higher education setting, preferably in program evaluation and/or student advising.
Proven track record of excellent customer service.
Dedication to international populations and ability to sincerely work for their success.
Excellent communication skills, both written and oral.
Demonstrated experience working as part of a team and service-oriented work environment.
