Position Summary:
Perform general administrative duties and provide excellent customer service to customers. Answer phones and transfer to appropriate person, screening as necessary. Process fuel and propane orders, credit card payments and payments to accounts. Will process all incoming UPS, FedEx deliveries, inter-office mail, and outgoing mail.
Duties & Responsibilities:
Answering phones is the main priority must be answered by the third ring.
Provide excellent and considerate customer service.
Receive customer calls and process orders for LP and fuels as necessary in accordance with the established policy.
Adhere to pricing, trip charge and leak test policy without deviation.
Enter F9 notes on accounts & place orders in Edge accurately & timely.
Process daily batches with payments to customer accounts.
Match payment to invoices and do account reconciliations.
Process electronic check deposits.
Balance cash drawer on a rotating basis.
Appropriately deal with customer account issues.
Attention to detail for past due accounts and ability to place orders.
Respond to all questions regarding customer account status.
Process credit card payment transactions.
Respond to customer requests for copies of invoices and statements which may include account reconciliation.
Perform monthly duties, ie: departmental clerical tasks including originating correspondence, departmental reports, and filing.
Keep the Credit Manager informed regarding activities and any issues with customer accounts or equipment and report on progress for any assigned projects.
Sorts and delivers incoming mail by department and/or employee to ensure timely distribution.
Pick up departmental mail from off-site location and distribute accordingly.
Operates mail machine including the postage meter and mail folding/inserting machine.
Processes and weighs outgoing mail.
Replenishes postage on the postage meter as needed.
Stocks supplies needed for the mailroom.
Daily deliveries to post office and bank.
Other duties as assigned.
Knowledge, Skills & Abilities:
Skilled in use of a 10-key calculator.
Skilled in the use of Microsoft Office (Outlook, Word, Excel), AS400 desired.
Strong clerical and administrative skills.
Excellent interpersonal communication and organizational skills.
Strong attention to detail, organized, and goal oriented.
Ability to switch tasks quickly and follow verbal or written instructions.
Ability to make quick and accurate decisions.
Ability to work in a fast-paced environment and be able to multi-task.
Basic understanding of operating instructions and processes for machines.
Basic understanding of postage rates and regulations.
Ability to correctly sort and distribute mail.
Qualifications:
1 to 3 years of experience as an administrative assistant, equivalent combination of education and experience will be considered.
AS400 preferred.
Above average 10-key and typing experience, preferred.
Valid drivers license and a good driving record.
Working Conditions & Physical Requirements:
This position operates in a professional office setting.
Must have the ability to sit for long periods of time.
Must have the ability to stoop, bend and reach on occasion.
Must have the ability to deal with difficult customers while maintaining a professional demeanor.
Work in all weather conditions- driving to post office, South Beaver Dam location, and walking to mailbox.
Must be able to lift up to 20lbs.
