Job Overview
We are seeking a highly organized and detail-oriented Office Manager & Coordinator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires strong clerical skills, proficiency in budgeting and event planning, and the ability to manage schedules effectively. The role will be responsible for maintaining office efficiency and supporting staff in their daily activities.
Responsibilities
Oversee and execute on daily office operations to ensure a productive work environment
Manage scheduling, including sales appointments, job scheduling, coordinating crews, meetings, events and follow ups
Accounting duties including accounts receivable, accounts payable and expense tracking
Monitor and oversee office expense and budget tracking, including ensuring compliance with company policies and office procedures
Liase with vendors, service providers, and building management to resolve facility related issues
Handle payroll management, processing and employee records management
Organize office supplies and managing inventory – including ordering, monitoring, forecasting, etc.
Accountable for ensuring proper hand-offs between sales associates and production crews, which may include daily and/or weekly meetings between sales associates and lead installers
Provide clerical support, including filing, data entry, and document preparation
Implement organizational systems to enhance workflow efficiency
Serve as the primary point of contact for location specific inquiries
Provide high-level customer service with clients and customers, including handling incoming and outgoing correspondences – i.e., mail, email, phone calls, etc.
Responsible for hiring techs and onboarding of new staff members, in alignment with company policies and procedures
Maintaining the office, tracking equipment maintenance, supply usage, supporting sales in COIs, Contracts, and other administrative tasks
Requirements
Proven experience as an Office Manager or Coordinator in a similar role
Strong organizational skills with the ability to prioritize tasks effectively
Proficiency in MS applications, QuickBooks and other office software applications
Excellent communication skills, both written and verbal
Ability to work independently as well as part of a team
Attention to detail with a commitment to maintaining accuracy in all tasks
Ability to lift 50+ pounds
