Sinai Akiba Academy seeks a dynamic, committed, and detail-oriented individual as the Administrative & Operations Assistant for our Douglas Family Early Childhood Center. As a member of the Sinai Akiba Academy organizational administrative team this role performs a wide variety of administrative and operational support functions and is a representative of the DFECC to colleagues, families, students, and the SAA community. This role serves as a face of the DFECC in welcoming parents and visitors to the ECC office, creating a warm, trusting environment. The DFECC AOA also manages the administrative needs of the DFECC office, creating and maintaining physical and digital materials, and is responsible for collaborating with multiple stakeholders across the SAA community to facilitate smooth DFECC operations, enhance the positive experience for colleagues and families, and serve as an informational resource for the SAA community. The DFECC AOA reports directly to the DFECC Associate Director and supports the ECC and Parenting Center Administrators and teachers in helping to keep the DFECC running smoothly and safely. This is a non-exempt, full-time position.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Manage the day-to-day operations of the DFECC office, including internal and external communications, welcoming students, parents and teachers in-person, via email or phone, and answering and/or directing all inquiries, and interacting with students, teachers, Administrators, parents, and visitors
Coordinate teacher absences with the DFECC Administration team to create classroom coverage schedules and arrange for substitute teachers as needed
Understand and anticipate the needs of the DFECC & WPC Director and Associate Director regarding preparation for and scheduling of activities
Create a welcoming and organized office environment for the DFECC Administrative Team
Assist with event planning by coordinating meeting room reservations, equipment and setup requests, and refreshment setup/preparation
Support student pick-up/drop-off as needed and directed by the DFECC & WPC Director
Prepare materials, attend meetings, and take notes at said meetings when necessary
Receive and process confidential information with discretion and in accordance with established guidelines and legal standards
Organize and maintain DFECC student files
Work closely with the all-school Student Registrar and other administrative staff to maintain accurate student records (including class rosters, Playground lists, filing incident reports, etc.)
Support the efficiency of the SAA Admissions Department with DFECC tasks, as needed, for weekly tour readiness, event registrations, event execution, and other duties
Establish and maintain systems relevant to educational programs in order to ensure the DFECC runs efficiently in collaboration with the DFECC & WPC Director and DFECC Associate Director
Maintain the DFECC & WPC Director and DFECC Associate Director calendars by planning and scheduling meetings, conferences, etc.
Maintain the DFECC Office Calendar with detailed events, due dates, and schedules
Handle departmental basic supply inventory and other curricular supplies as requested by the DFECC Associate Director
Coordinate with the Business Office and Operations team including processing monthly expense reimbursement forms, check requests, and submission of credit card receipts and reports for DFECC & WPC Director and DFECC Associate Director
Effectively utilize and understand the school database, updating information and running reports as necessary
Coordinate parent-teacher conferences scheduling and meals for teachers
Edit teachers’ newsletters and other communications as needed
Assist DFECC & WPC Director and DFECC Associate Director in organizing professional development days, parent events, staff meetings, etc.
Assist with maintaining health records, including student allergy information and collection/storage of proper medication
Support teacher recruitment, including organizing resumes and scheduling interviews as directed by the DFECC & WPC Director or DFECC Associate Director
Assist with staff development conferences, gather information, register Staffulty and Administration, process payments, and make appropriate travel and/or hotel arrangements as needed.
Create and maintain a variety of tracking systems, spreadsheets, and database records to support educational programs
Learn, use, and apply technology as required by School to enhance learning, provide feedback to students and parents, and engage with colleagues. Technology includes but is not limited to JagNet, Google Workspace, Paylocity, and any other School approved software.
Perform other duties as assigned by supervisor, the DFECC & WPC Director and/or Head of School in support of the school’s mission
PHYSICAL REQUIREMENTS
Ability to lift and move objects of up to 20 pounds
Substantial time spent standing, kneeling, walking, bending, stooping, squatting, and moving up and down stairs. Responsibilities include moving quickly with children. The position also requires being able to set up and move classroom equipment, including large items such as children’s desks and chairs may require setting and resetting.
REQUIREMENTS AND QUALIFICATIONS
At least 3 years of high volume administrative or relevant experience; Bachelor’s degree preferred
Ability to work on-campus 7:15 AM – 3:45 PM, Monday – Friday
Proficiency with Google Suite (Mail, Calendar, Docs, etc.) and uploading and downloading digital resources
Strong organizational skills and attention to detail
Ability to handle confidential information with discretion
Independent judgment and prioritization abilities
Work well with cross-functional teams and can build strong relationships
Strong work ethic, collaborative skills, flexibility, and sense of humor, with high emotional intelligence
COMPENSATION AND BENEFITS
Hourly Rate Range: $26.50 – $29.50

In the spirit of pay transparency we share the hourly rate range for this position: $26.50 – $29.50. The hourly rate range is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at SAA are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at SAA, your final hourly rate will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the range mentioned above is the full hourly rate range for the role. Hiring at the maximum of the range is not typical for SAA in order to allow for future and continued salary growth.
