At UConn Health, the Administrative Program Coordinator is responsible for independently providing administrative management and advanced technical program support for the Offices of Dental Academic and Student Affairs. Reporting to the Director of Curricular Affairs in the School of Dental Medicine, this position focuses on the management and implementation of pre-doctoral and postgraduate curricular programs.
The role requires close collaboration and communication with academic and clinical units across the School of Dental Medicine, including SDM departments/disciplines, the Offices of Academic and Clinical Affairs, as well as the Undergraduate Medical Education Offices of the UConn School of Medicine. The Administrative Program Coordinator plays a critical role in ensuring the seamless delivery and organization of educational programs, fostering alignment with institutional priorities and accreditation standards.

May lead/supervise lower level employees as assigned.
EXAMPLES OF DUTIES:
Curriculum Design and Implementation
Manage and oversee the implementation of the predoctoral and postgraduate dental curriculum, including didactic, laboratory, and clinical components.
Develop and monitor comprehensive academic and clinical schedules, including community-based rotations and interdepartmental postgraduate courses.
Coordinate the delivery of preclinical laboratory and clinical curriculum in collaboration with the Assistant Dean for Clinical Education.
Maintain and update the course catalog, course materials and syllabi in coordination with course directors and faculty.
Ensure alignment of curriculum mapping with program objectives, tagging requirements, and accreditation standards.
Student Support and Assessment
Plan and deliver orientation programs for students and residents, ensuring smooth transitions into the academic and clinical programs.
Track and monitor student performance metrics, including grades, attendance, and academic progress.
Prepare, administer, and analyze course assessments using statistical tools to evaluate student learning outcomes.
Coordinate and facilitate elective courses and opportunities, integrating them seamlessly into the curriculum.
Serve as a resource for students and faculty in using online educational and information management tools such as Blackboard and Oasis.
Data Management and Reporting
Develop and maintain data systems to support academic and clinical operations, including grades, transcripts, and curriculum hours.
Interface with the Registrar’s Office to ensure accurate records and timely transcript updates.
Provide curriculum data to accrediting bodies and the Associate Dean for Academic Affairs as needed.
Prepare and distribute annual academic and clinical calendars, ensuring synchronization with institutional policies and other UConn Health programs.
Accreditation and Compliance
Support ongoing accreditation processes by managing data, preparing reports, and ensuring compliance with standards.
Facilitate preparation for accreditation site visits by coordinating required documentation and institutional data.
Faculty and Staff Collaboration
Act as a liaison between course directors, clinical faculty, and basic science faculty to ensure cohesive curriculum delivery.
Provide faculty with guidance on syllabus preparation and standardization, coordinating centralized assembly across courses.
Offer training and support for faculty use of web-based learning platforms, ensuring effective integration into teaching practices.
Facilitate communication and collaboration across academic, clinical, and administrative units to streamline program implementation.
Event and Meeting Coordination
Organize and oversee curricular events, including presentations, posters, and student-led initiatives, by managing timelines, communication, procurement, and other logistics.
Coordinate room scheduling within the School of Dental Medicine and with UConn Health facilities.
Schedule and provide administrative support for faculty meetings, curricular committees, and operational task forces, including taking minutes and tracking follow-ups.
Assist with the planning and delivery of special events such accreditation site visits.
Operational Oversight
Monitor and manage budgets and accounts related to the Office of Academic Affairs, ensuring efficient allocation of resources.
Coordinate logistics for course materials, examinations, evaluations, and schedules to ensure smooth operations.
Administer and analyze course, rotation, and faculty evaluations to inform program improvements.
Act as a decision-maker in the Director’s absence within authorized limits, representing the department in administrative matters.
Additional Responsibilities
Perform other duties as assigned to advance the mission and goals of the School of Dental Medicine.
MINIMUM QUALIFICATIONS REQUIRED
KNOWLEDGE, SKILL AND ABILITY:
Considerable knowledge of data management and statistical analysis
Considerable oral and written communications skills
Considerable interpersonal skills
Knowledge of applicable program rules and regulations
Ability to trouble shoot effectively
Ability to schedule and prioritize work

EXPERIENCE AND TRAINING:
General Experience:
Six (6) years relevant administrative experience in a higher education setting.
Substitutions Allowed:
Master’s Degree in Education or a Bachelor’s degree and two (2) years of relevant experience in a higher education setting may be substituted for the general experience.
Special Requirements:
Experience developing and managing databases, spreadsheets, and complex schedules.
Advanced experience with Microsoft Office, including Word, Excel, and PowerPoint.
Preferred Requirements:
Master’s degree in Education, Management or related field;
Experience with student information systems and learning management systems (e.g., Blackboard, PeopleSoft, and Oasis)
Experience with statistical software (e.g., SPSS)
Proficiency in Qualtrics and/or other survey creation and administration tools
Experience working with students in Graduate or Undergraduate Education
Experience working with health professions education.
SCHEDULE: Full time, 40 hours per week (8 hours per day with a 60-minute unpaid meal break) Monday – Friday, between the hours of 8:00 a.m. and 5:00 p.m. Flexibility is required to accommodate departmental needs.
