Role Overview: We are seeking an Office Coordinator to support the daily operations of our vibrant office and provide high-level administrative support to the CEO. This role requires a proactive, detail-oriented individual who thrives in a fast-paced environment and is passionate about the beauty industry. The ideal candidate will ensure the office runs smoothly while helping the CEO stay organized, prepared, and focused on strategic priorities.

Office Manager Responsibilities:

Oversee the day-to-day operations of the office to ensure a professional, welcoming, and well-maintained environment.

Manage office supplies, equipment, and vendor relationships.

Coordinate team events, meetings, catering, and company-wide communications.

Serve as the first point of contact for visitors and incoming inquiries.

Assist with onboarding logistics for new hires, including desk setup and welcome kits.

Maintain an organized filing system (digital and physical) for company documents.

Support cross-functional teams with administrative tasks as needed.

Manage and prioritize the CEO’s calendar, scheduling meetings, calls, and travel arrangements.

Prepare agendas, materials, and follow-up tasks for key meetings and presentations.

Handle confidential information with discretion and professionalism.

Coordinate internal and external communications on behalf of the CEO.

Track deadlines and deliverables to ensure the CEO’s time is used efficiently.

Office Manager Qualifications:

3+ years of experience in an office coordination, executive assistant, or administrative support role.

Previous experience supporting C-level executives strongly preferred.

Strong organizational and multitasking abilities; thrives in a dynamic, ever-evolving environment.

Excellent communication skills—both written and verbal.

Tech-savvy, with proficiency in Google Workspace, Microsoft Office, and collaboration tools like Slack and Zoom.

Ability to maintain confidentiality and exhibit sound judgment.

Passion for the beauty or wellness industry is a plus!
