What You Need

The Ethics Group in the Ethics & Audit Division (EA-Ethics) is seeking an organized, results-oriented administrator to manage the group office. EA-Ethics is responsible for several institutional programs, including the Ethics Program, Employee Concerns Program, and the Conflict of Interest Program. This position will be integral to ensuring the efficient operations of these programs through administrative support such as database management, records management, metrics and report development, action tracking, and web site management. Additionally, special projects will be assigned, as needed. This position also supports the group leader and four professional staff and serves as back-up to the division professional staff assistant in her absence and during heavy workloads. This position is currently a hybrid work location with work required onsite in Los Alamos with occasional work from home. While executing your responsibilities, you will consistently maintain a professional office atmosphere, as well as demonstrate attention to detail and accuracy, versatility, tact, and confidentiality in all matters.

Minimum Job Requirements:

Administrative Support: We are looking for an experienced professional to provide high-level office management. Duties of this position include records and document management; travel, time, and effort management; calendar management; meeting scheduling and logistics; and web site maintenance. You will need to learn, understand, and follow Lab policies and procedures. This position requires problem solving, developing and implementing solutions, and innovative business practices.

Personal Leadership: You must have the ability to manage frequent interruptions and changing priorities and complete assignments with minimal direction. This includes utilization of tact, diplomacy, and discretion in dealing with sensitive and personnel-related information.

Organization and Time Management: You must be dependable, punctual, and demonstrate the ability to organize, prioritize, and complete multiple tasks.

Communication: You must have the ability to network and work effectively with team members and key contacts inside and outside of the division. Excellent interpersonal, verbal, and written communication skills are necessary while interacting effectively with people throughout the organization. You should have experience providing customer service. Grammatical proficiency and document formatting and editing capabilities are expected at this level.

Business Systems: You must have expert-level knowledge and experience with Microsoft Office (Word, Excel, PowerPoint, and Outlook) and Adobe PDF. Additionally, experience developing metrics and reports in business systems is also required.

Education/Experience: Position requires a minimum of 5 years of related experience or an equivalent combination of education and experience.

Clearance: Ability to obtain and maintain a “Q” clearance, which normally requires U.S. citizenship.

Desired Qualifications:

Additional Education and Training: Additional business school training and/or bachelor’s degree preferred.

Business Systems: Knowledge of Laboratory systems such as OARS, Oracle, Concur, and Utrain.

Lab Knowledge: Familiarity with the Laboratory and policies or previous experience at the Laboratory a plus.

Work Location: The work location for this position is hybrid and is located in Los Alamos, NM. Hybrid is defined as working partially onsite/partially offsite but within 2 hours ground commute of this location. All work locations are at the discretion of management and can change at any time with appropriate notice.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 – Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

Clearance: Q(Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.

Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
